Position Summary
Assist Shipping and Receiving Manager ensures accuracy of operations and processes for the shipping and receiving department.
Essential Functions
- Enter data on the computer to feed different shipping / receiving reports.
- Create/edit shipping/receiving documentation using SAP and MS Office – mainly excel and word.
- Create shipping packets for all loads shipping, including LTL shipments.
- Calculate transit miles and transit times for each project and enter them onto shipping packet using truckmiles.com.
- Organize all shipping trucks, prioritize and complete assigned duties accurately and proficiently.
- Create a Bill of Ladings for projects shipping no later than the day before shipment but no earlier than 2 days in advance.
- Reconcile products loaded on trucks to packing lists and manage shipment to correct destinations.
- Provide accurate shipping documents to the accounting department.
- Effectively communicate with customers on LTL orders providing them with accurate data related to the shipment of projects.
- Reconcile shipping documents to invoices from various vendors.
- Perform counts (warehouse and outside) to assure accuracy prior to any shipment.
- Perform inventory count on factory seconds and provide an inventory count report to the accounting department.
- Coordinate priority shipments with project managers and the customer service department.
- Completes training by supervisor.
- Complies with all safety and company policies and procedures.
- Performs other related duties as assigned.
Knowledge, Skills, and Abilities
- Familiarity with packing and shipping methods and processes preferred.
- Ability to communicate effectively and respond to questions and requests.
- Effective written communication skills using appropriate business English.
- Computer literacy to use business software, the Internet, enter data/retrieve data.
- Human relations skills to build effective working relationships.
- Demonstrated customer service, problem solving and common-sense skills.
Education and Experience
- HS diploma or GED strongly preferred
- One year of work experience, preferably in shipping and receiving;
- Experience operating a forklift, Pallet Ryder and other material handling equipment, preferred;
- Strong computer skills required
- Is detail oriented and able to work independently
- Demonstrates interpersonal effectiveness
Physical Requirements
- Ability to work approx. 8 hour per day, Monday-Saturday, with ability to work overtime up to 12 hours per day as well as some Sundays as needed. Hours and shifts depend on season and shipping schedule, and shifts are not guaranteed.
- Ability to sit, walk, and stand for extended periods. Must be able to bend, lift, twist, reach, grasp, and other physical movements.
- Ability to occasionally work in a non-climate controlled environment with extreme temperatures and humidity, with some outdoor exposure when needed.
- Ability to lift 50 lbs.
- Must be able to effectively use telephone equipment, office equipment and machines, a computer, and have intermediate proficiency in MS Office and email.
- Must be able to use tools, equipment, machinery, etc.
- Must be reliable and dependable
Working Environment
While performing the duties of this job, the employee is regularly exposed to work near moving mechanical parts, dusty conditions, high noise environments, chemicals used in the process, and extreme temperatures. The facility is an industrial manufacturing plant.
This position is designated safety sensitive.
