SUMMARY
Responsible for project set-up, document control, data entry, billing, contract monitoring, and administrative closeout of each project. This position is required to closely interact with the Project Manager and assigned project staff to assist with the timely completion of each project.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES include the following. Other functions may be assigned.
- Sets-up project in business system based on Sales to Operations transition documents.
- Initiates and tracks documents through correspondence, letters of transmittal, submittals, proposed change orders, requests for information, meeting minutes, subcontract and contract issues.
- Prepares invoices for monthly billings to customers and associated documentation.
- Assist Project Engineers and Project Managers with the preparation of submittals and operation/maintenance manuals.
- Receives/approves vendor/subcontractor invoices; reconciles and records; obtains any contingent releases; and releases payments.
- Coordinates with various staff for accurate and timely recording of project costs, including time sheets, daily reports, etc.
- Gathers and records information to assist with process compliance monitoring.
- Responsible for initiating, processing, and tracking progress of inter-company business unit claims.
- Initiates documents for purchase orders, subcontracts, and change orders.
- Coordinates internal project team meetings to ensure accurate transfer of information.
- Assists with preparation of project forecasting (forecasting cost to complete).
- Validates and reconciles project cost data in business system to the project forecast.
- Follow-up with customers on contract documentation including tax documents, purchase orders, and general information.
- Assists with the resolution of collection issues including research and communicating with appropriate staff.
- Communicates effectively with other team members concerning problems, obstacles, issues, and information needs.
- Flexibility to work overtime/weekends, as required.

QUALIFICATIONS

EDUCATION and/or EXPERIENCE
One-year certificate from college or technical school; or six (6) months of related experience and/or training; or equivalent combination of education and experience. Working knowledge of Microsoft Office products. Familiarity with the operation of Energy Management Systems, HVAC Systems and/or Temperature Controls preferred.
LANGUAGE SKILLS
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
REASONING ABILITY
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
