Premiere Plastic Surgery and Aesthetics Center located in Newport Beach, is looking for a Front Desk and Sales Coordinator, to join our team. Our elite practice, featuring nationally recognized board-certified plastic surgeons, offers an interdisciplinary, progressive approach to cosmetic procedures and aesthetic treatments. Creating an exciting opportunity as our Center grows, as well as advanced career development for the ideal candidate, this position is one of the first points of contact for new and existing patients and plays a key role in supporting every facet of our operations, along with team members.
Candidates must possess high level customer service skills, organizational ability, be self-motivated, have the ability to multi-task, be detail orientated, dependable, and focused. This position will be working directly with our practitioners, along with senior management to ensure the facility is running at an ideal level.
The Front Desk and Sales Coordinator performs key functions of communication with all patient inquires, maintaining satisfaction and retention of existing clients, and optimal productivity. Facilitating the smooth functioning of every aspect of the patient experience, through communication and cooperation of the team members to safeguard peak efficiency and ensure that clients receive a memorable and satisfying experience during every interaction with our business.
Role and Responsibilities include but are not limited to the following:
· Acts as a skilled and professional liaison to all current and prospective clients, ensuring their complete comfort and satisfaction
- Be able to informatively answer all telephonic inquires.
- Greet and welcome all new patients and visitors to the practice using excellent customer service skills.
- Present forms (paper and electronic) to be filled out, provide any assistance needed by patient.
- Schedule and reschedule all appointments in a professional, accurate and courteous manner, following Center guidelines.
- Verify and update all demographic information on established patients.
- Monitor and update providers scheduling templates as necessary to maximize efficiency.
- Utilize waiting list to contact patients.
· Ensures scheduling, confirms and guarantees all appointments according to company protocols while providing excellent customer service.
- Has an in depth understanding and is able to articulate and provide in depth descriptions of products and services, general recovery guidelines and clinic policies.
- Work to meet targeted clinic sales goal and support the completion of transactions/documentation.
· Helps facilitate the development and coordination of all training programs
- Maintain high-level of patient care, professionalism, and discretion
· Works with Management to ensure compliance with all company policies including relevant OSHA and HIPAA standards and helps to maintain satisfactory performance standards among all levels of employees
· Works closely with Social Media Consultant on designing and implementing social media marketing plans to ensure continued growth for sales of services and products to appeal to both existing and future clientele.
· Helps coordinate and assist with events.
· Assists in continued development and refinement of operational systems and protocols
· Helps oversee facility conditions, keeps management informed as to needed repairs and general maintenance
· Assists with retail and professional inventory, auditing and ordering processes
· Provide solution orientated feedback for suggestions to improve processes
· Accurately and efficiently enter all information into the practice management system.
- Check out all patients and collect payments.
- Ensures scheduling of all follow-up appointments.
- Accurately enter all patient charges/information into the practice management system and tracking systems.
- Keeps patients informed of any relevant operational information.
- Complete all daily reports.
- Maintain orderliness of waiting area throughout the day, paying attention to the neatness of magazines, brochures, binders and removing items discarded by patients.
- Maintain professional image through appropriate attire and grooming.
- Performs other associated duties as needed.
- Ensures that every patient receives the highest quality of care and service from the first moment of contact throughout the check-in, treatment, and check-out process, to post-treatment follow up communications.
Requirements:
- Treat all patients and other staff members with respect and professionalism.
- Ability to keep patient information private and secure according to HIPAA guidelines.
- Ability to multi-task and prioritize. Be a self-starter and proactive.
- Excellent customer service, communication skills and telephone etiquette.

- Computer proficiency.
- Knowledge of aesthetic industry terminology, treatments and services.
Skills/Experience Required:
- Very Strong Computer Skills, Microsoft Office, HER and Point of Sale
- Excellent communication, verbal and written skills
- Experience in medical aesthetics (highly desired)
