Project Site Administrative Assistant

KBR is providing Project Management Services encompassing Engineering, Procurement, phase execution supporting KBR’s client Sonangol’s multi-billion-dollar grass roots Lobito Refinery Project in Angola Africa.  KBR’s Project Management Team is responsible for the overall management of the Owner’s EPC Contractor’s contract.

KBR is seeking a Project Site Administrative Assistant to be the Project Management Company (PMC) representative.  This role will be assigned to PMC Angola based team. The Administrative Assistant will be responsible for assisting in the day-to-day administrative operations of the organization on site. This role involves providing support to various departments, coordinating office activities, and ensuring efficient communication within the company and with external stakeholders.

 Responsibilities:

  • Manage and maintain office supplies and equipment, including ordering and restocking as needed
  • Prepare and distribute internal and external correspondence, including emails, letters, memos, and reports
  • Maintain and organize physical and electronic files and documents
  • Data Entry and Record Keeping:
    • Accurately enter data into spreadsheets, databases, and other software applications
    • Maintain and update contact lists, employee records, and other databases
    • Create and manage reports and documents as required
    • Assist in managing company emails and responding to routine inquiries
  • Liaise with employees, clients, and external partners professionally and courteously
  • Apply common sense understanding to execute written or oral instructions
  • Assist in processing expense reports and invoices
  • Assist in various projects and tasks as assigned by management
  • Conduct research and gather information as needed for specific projects
  • Support meeting arrangements and room reservations

Experience & Skills:

  • Proven experience as an Administrative Assistant or in a similar role
  • Previous site / construction related experience is preferred
  • Proficiency in using office software and equipment, including Microsoft Office Suite
  • Strong organizational, multitasking, and time-management skills
  • Excellent communication and interpersonal abilities
  • Attention to detail and a high level of accuracy
  • Discretion and confidentiality in handling sensitive information
  • Strong problem-solving skills and the ability to work independently
  • All other duties as assigned, which may vary based on specific needs and requirements

Additional Qualifications:

  • HS diploma or equivalent
  • 8 + years of related experience

Preferred Qualifications:
Bachelor’s degree
