Job Description
- Independently plans and organizes work; develops and maintains procedures to ensure meetings are scheduled, calendar conflicts are resolved, and work is completed in an efficient manner.
- Adept with the use of scheduling, purchasing and booking apps such as Uber, Doordash, AMZN and HR and team apps such as Workday and Jira.
- Proactively networks with on-site and cross-site Admins and leaders to inspire a sense of bonding, clarity, high morale and fun among the multiple sites of the Organization.
- Greets visitors, screens incoming calls, and reviews incoming correspondence; uses discretion to direct items to their executive or refers them to other staff for action in a timely manner.
- Creation and execution of team building events and office camaraderie. Ensures the office runs efficiently and handles office facility requests.
- Manages the leader's Outlook calendar including booking hotel accommodations and flight reservations for business travel, setting up meetings, and collaborating with other Admins at all levels of the Organization to provide leader’s availability in a prompt manner when requested.
- Composes correspondence, prepares reports, and conducts special projects as directed.
- Has the ability to effectively learn how to prioritize business and leader needs based on ever changing situations and timelines.
- Organizes invoice and expense processing and review. Orders and organizes office and break room supplies.
- Researches and summarizes data as requested; prepares reports for the executive and other members of senior management.
- Follows through on matters referred to other staff to ensure prompt action has been taken.
- Other duties as assigned.
Qualifications
- Five to eight years of experience in administrative and support staff activities
- High School Diploma or equivalent
Preferred Qualifications
- In-depth knowledge of policies and procedures as they relate to the executive's function
- Proficient computer navigation skills using a variety of software packages including Microsoft Office 365 applications such as Teams, WebEx, Word, Excel, and PowerPoint.
- Ability to manage the leader’s calendar, scheduling meetings and events, proactively anticipating and resolving schedule needs and conflicts
- Strong organizational abilities strategizing, planning and running team retreat and offsite events to build team morale.
- Possesses a high attention to detail
- Well-developed ability to organize and prioritize tasks
- Excellent verbal and written communication skills.
- Initially on-site Tuesdays, Wednesdays and Thursdays; this may change to other days but will still be 3 days each week
- Current site location is Cupertino, CA with a possibility of moving to Sunnyvale, CA

The salary range reflects figures based on the primary location, which is listed first. The actual range for the role may differ based on the location of the role. In addition to salary, U.S. Bank offers a comprehensive benefits package, including incentive and recognition programs, equity stock purchase 401(k) contribution and pension (all benefits are subject to eligibility requirements). Pay Range: $27.55 - $36.73 - $40.40
