Job Summary
Provides administrative support to the Chief Information Officer, Comcast Business, and some of his direct reports. The ideal candidate has extensive administrative experience with C-suite level executives. Primary responsibilities include: managing the executives’ calendars with a proactive and detailed approach, scheduling domestic and international travel with detailed itineraries, registering and escorting guests, and assists the Communications team with logistics around team meetings and events.
This EA interacts with Company personnel at all levels of the organization, including the most senior executives. They must project the appropriate professional image of the Company to internal and external contacts. This individual must be able to handle highly confidential company information.
Job Description
Core Responsibilities
- Assures the planning and coordination of the executive's calendar of events; schedules appointments and prepares detailed itineraries, complete with travel accommodations, etc.
- Maintains and updates correspondence, various contact databases to ensure timely, effective communication, incoming/outgoing mail and communication.
- Builds strong rapport across the team at all levels and excels as a problem solver.
- Assures the maintenance of travel and expense account and records, including form preparation and figure reconciliation.
- Screens telephone calls, visitors and letters; answers routine questions, furnishes information, and directs inquiries to the appropriate team to ensure timely follow-up.
- Coordinates internal and external departmental events including small and large scale event and project management as needed.
- Responsible for the coordination and scheduling of internal and external meetings and presentations; gathers and prepares necessary materials and/or equipment and technology support
- Displays a strong knowledge of desktop tools such as the Microsoft Suite of Office products, electronic mail systems, virtual meeting tools and software and capacity to train on customized systems and databases for the team.
- Demonstrates the ability to work independently while maintaining high standards of accuracy and attention to detail in all tasks.
- Maintains an organized workflow, effectively prioritizing responsibilities to meet deadlines and ensure project efficiency.
- Regular, consistent and punctual attendance. Must be able to work nights and weekends, variable schedule(s) and overtime as necessary.
