Job Summary: The Executive Assistant provides high-level administrative support to the Medical Affairs Chief Medical Officer (CMO). The role requires exceptional organizational, communication and problem-solving skills, as well as discretion and professionalism in handling sensitive and confidential information. The ideal candidate is proactive, detail-oriented, and thrives in a fast-paced environment.
Key Responsibilities:
Manage complex calendars, meeting logistics, and travel arrangements and resolve scheduling conflicts. Prepare and maintain expense reports.
Handle CMO requests and queries appropriately and in a timely manner
Prepare and edit correspondence, reports, presentations and other documents with a high degree of accuracy.
Coordinate CMO communications including emails and appropriate follow ups.
Serve as liaison between CMO and internal/external stakeholders.
Handle confidential information with discretion and professionalism
Anticipate CMO needs and take initiative to resolve issues before they arise
Manage special projects and initiatives, as necessary, and ensure timely execution and follow-through.
Required Qualifications:
7+ years of senior administrative assistant experience supporting senior and executive level leaders, preferably in a corporate environment
Advanced proficiency in Microsoft Office Suite and collaboration tools (Teams, Zoom, etc.)
Ability to organize and lead projects and perform multiple tasks for senior executive
Strong problem-solving ability and to work independently
Flexible and ability to adapt readily to changing circumstances and working with staff in various time zones
Excellent written and verbal communication and interpersonal skills
Detail oriented and organized
Strong calendar management skills

The typical pay range for this role is:
$31.89 - $76.50
This pay range represents the base hourly rate or base annual full-time salary for all positions in the job grade within which this position falls. The actual base salary offer will depend on a variety of factors including experience, education, geography and other relevant factors.
