Job Description

The Administrative Assistant II will provide administrative support to the Director of Safety & the Environment and the EHS team.

The Primary Activities Include, But Are Not Limited To

  • General and confidential administrative tasks
  • Department file management, including the use of SharePoint and SDA
  • Utilizing the Microsoft Office Suite including: Word, Excel, Power Point, and Outlook.
  • Scheduling interviews, organizing hiring documentation and assisting with new employee onboarding
  • Scheduling Meetings/Meals (as required)
  • Assisting with travel arrangements and expense reports, as needed
  • Maintaining Director’s calendars and scheduling meetings as required
  • Maintaining organizational charts
  • Creating PO’s, requesting checks, distributing mail, placing work orders, as needed
  • PO creation, management and spend tracking
  • Subsequent on-boarding for outsides services PO workers
  • All financial processing for monies requested from our Manufacturing Division, GWES and our Research & Development Division
  • Assist other areas with PO creation upon request
  • Standard and expedited check requests for recurring regulatory fees, advertisement fees, permit application fees and NOV fines using cost centers and network activity codes
  • SAP Appropriation Approval Requests (involves coordinating of MOC reviews with appropriate safety person at WP or UG for capital projects as a condition of approving the release of funds for the project)
  • Document filing/retention
  • Account management/access to systems
  • SAP experience processing: Expense Reports; Purchase Orders and Payment Requests; Vendor Add Forms, as well as the capability to run reports within SAP
  • Experience with financial and budget tasks
  • Event planning and coordination
  • Manage office projects

Qualifications

Education Minimum Requirement:

  • High School Diploma

Required Experience And Skills

  • Minimum of two (2) or more years of experience in an Administrative role.
  • Strong computer and software skills especially in the Microsoft office Suite, Word & Excel specifically.
  • Strong organizational and planning skills

Preferred Experience And Skills

  • Ability to work in a fast-paced environment and complete tasks in a timely fashion.
  • Must work well with others as well as independently.
  • Excellent written and oral communication skills
  • Self-motivated and detail oriented
  • Windows 11
  • Experience with SAP
