Responsibilities:
- Email & Calendar Management: Manage and filter email inboxes, schedule appointments, and coordinate meetings across different time zones.
- Communication: Serve as the first point of contact, handling phone calls, messages, and routine correspondence with clients and team members.
- Travel & Logistics: Arrange complex travel itineraries, including flights, accommodation, and ground transportation.
- Data Entry & Organization: Maintain digital filing systems, input data, and ensure information is accurate and up-to-date.
- Document Preparation: Draft, format, and edit documents, reports, presentations, and spreadsheets.
- Social Media & Marketing Support: Schedule social media posts, create simple graphics (e.g., using Canva), and assist with basic content creation.
- Personal Errands: Handle occasional personal tasks such as making online purchases, managing personal appointments, or conducting online research.
- Project Management: Assist with special projects using tools like Asana, Trello, or Slack to ensure tasks are completed on time.
Qualifications & Skills:
- Proven experience as a Virtual Assistant, Executive Assistant, or relevant administrative role.
- Excellent written and verbal communication skills in English.
- Tech-savvy with high proficiency in:
- Google Workspace (Gmail, Docs, Sheets, Calendar) or Microsoft Office Suite.
- Video conferencing tools (Zoom, Google Meet).
- Familiarity with project management and communication tools (Asana, Slack, Trello) is a plus.
- Ability to work independently with minimal supervision and maintain a high level of discretion and confidentiality.
- Strong time-management skills and the ability to prioritize a varied workload.
- High-speed internet connection and a dedicated, quiet workspace.
- A proactive mindset with a passion for supporting others and helping a business grow.
Nice-to-Have Skills (Optional):
- Experience with basic graphic design (Canva, Adobe Creative Suite).
- Knowledge of CRM software (e.g., Salesforce, HubSpot).
