Job Summary: 
As an Administrative Assistant at Caterpillar, you will play a vital role in supporting daily operations and ensuring the smooth functioning of our team. You will be responsible for a wide range of administrative and clerical tasks, including managing schedules, coordinating meetings, preparing reports, and maintaining organized records. This role requires a high level of professionalism, attention to detail, and the ability to handle confidential information with discretion. The ideal candidate is proactive, adaptable, and thrives in a fast-paced, collaborative environment.
What You Will Do:
- Assisting leaders by managing day-to-day global operational and administrative needs concerning tasks, responsibilities, prioritizations, and delegations.
- Coordination and execution of all aspects of domestic and global travel including flights, ground transportation, hotel, visas and other elements as required.
- Completing, reconciling and submitting expense books.
- Maintaining calendars including the scheduling and rescheduling of meetings.
- Event coordination including meeting room reservations, meals, guest speakers and other logistics as needed.
- Creating employee meeting agendas and slides.
- Ordering and management of supplies, customer and employee recognition items and tools necessary to perform our work.
- Maintaining master copies of organizational policy and procedure manuals and keeping them up to date.
Education requirement:
Candidates should possess a degree or demonstrate equivalent knowledge through professional expertise.

Office Administration: 
- Coordinates meetings, including room bookings, equipment setup, and refreshments
- Manages office equipment and ensures smooth day-to-day operations
- Handles internal and external correspondence distribution
- Arranges travel and processes expense reimbursements
- Maintains inventory and orders office supplies as needed
Microsoft Office:
- Utilizes multiple Microsoft Office applications to meet work requirements
- Selects appropriate tools (e.g., Word vs. PowerPoint) based on task needs
- Converts and integrates content between Word and Excel
- Understands key differences between Office versions to optimize usage
Additional Information: 
This position requires the candidate to work onsite five days a week, alternating between the Mapleton, IL and East Peoria, IL office.
Domestic relocation assistance is NOT available for this position.

This position may require up to 5% travel.

Summary Pay Range:
$21.50 - $32.20
