First Command was founded in 1958 by a retired military officer who was passionate about helping service members and their families strengthen their financial security. The company is seeking an administrative assistant who shares this passion for our mission. The Enterprise Project Management Office and the Enterprise Portfolio Governance Office need support for the organization and operational performance of personnel within these two functions. This role focuses on enhancing the quality of delivery from the Enterprise Project and Program Mangers, as well as the Portfolio team, by coordinating governance-driven meetings, maintaining enterprise-facing media, and organizing working sessions / calendars. Your ability to bring structure, clarity, and discipline will help shape First Command’s ongoing transformation and innovation efforts.
What will the employee be doing in this role?
- Schedule, coordinate, and track outcomes from key gate reviews and meetings.
- Handling all aspects of meeting planning to include coordinating schedules, arranging teleconference calls, preparing agendas and presentation materials.
- Onboarding new employees to include equipment and systems access requests.
- Manage calendars and deconflict schedules for the department leaders.
- Support meeting preparation and close out as requested.
- Development and maintenance of PowerPoints, Excel spreadsheets, Mural boards, and other artifacts as needed
- Partner with the Enterprise to create and maintain internal websites, communications, and artifacts
- Perform administrative support to Functional leadership
- Support a culture of continuous learning by sharing lessons learned, participating in team development, and suggesting/implementing improvement to the ways of working.
- Distribute daily mail and arrange for FedEx Mail-outs and place departmental supply orders.
- Make travel arrangements for conferences.
- Prepare Accounts Payable, Reimbursement forms and Request for Absence.
- Participate in and support the organization and planning of departmental gatherings and events.

Education
- High school graduate (Bachelors degree preferred)
Experience
- 5+ years of experience Administrative Support, functional coordination, or project coordination.
- Demonstrated competence with MS Office.
Knowledge, Skills, and Abilities
- Strong writing and communication abilities with prior administrative support experience.
- Must have excellent Microsoft Office Suite (and keyboard) proficiency to include Word, Excel, Outlook, PowerPoint, and Access.
- Excellent judgment, integrity, time management, organization, and interpersonal skills as well as problem solving and logistics aptitude.
- Ability to take initiative, work independently with little supervision and to handle multiple assignments simultaneously.
- Understanding of our military market preferred
- Project management executive support preferred.
- Financial Services Industry experience is a plus.
