Who we’re looking for:
Toyota’s San Francisco Regions Demand & Supply Department is looking for a passionate and highly motivated Demand & Supply Administrator. In this role, you will be instrumental in managing the allocation and logistics of wholesale vehicles, ensuring smooth coordination between dealerships, transportation, and internal teams. Reporting to the Demand & Supply Manager, you will support the department’s goal of optimizing vehicle distribution and enhancing dealer satisfaction through accurate, timely, and efficient processes.
What you’ll do:
Own the end-to-end process of Toyota wholesale vehicle allocations, including requesting, posting, and finalizing vehicle quantities.
Serve as the primary contact for dealer and field traveler communications, addressing inquiries and resolving transportation or vehicle condition issues.
Manage new vehicle orders, changes, and tracking to ensure timely delivery to the correct dealerships.
Maintain compliance with Sarbanes-Oxley (SOX) requirements by reviewing and ensuring accuracy of all forms and records.
Coordinate vehicle transfers during dealership ownership changes, including tracking and deviating units as needed.
Handle miscellaneous requests such as buybacks, PPO changes, and Monroney label updates.
Collaborate with logistics, transportation companies, and dealership personnel to resolve issues and improve processes.
Identify trends and recommend process improvements to enhance efficiency and accuracy.
What you bring:
High School Diploma or higher.
Excellent organizational skills, with a high attention to details, and ability to execute on specific deadlines
Proven experience in office management or administrative leadership role
Strong Microsoft skills within but not limited to: Teams, Excel, Outlook, Word, and PowerPoint
Demonstrated ability to effectively multi-task across diverse projects while proactively anticipating challenges and implementing timely solutions.
Strong knowledge of supporting departments and organizations with operations policies and procedures
Added bonus if you have:
Experience in automotive, logistics, or supply chain support roles where you’ve demonstrated attention to detail and problem-solving skills.
Advanced knowledge of Sarbanes-Oxley (SOX) compliance and record-keeping best practices.
Ability or experience with event planning (coordinating meetings, setting up luncheons, managing RSVPs, etc.)

The annual base salary range for this position is $63,400.00 - $103,000.00.
