Job Classification: Corporate - Administration IMO & Sales Administration Support Role: Administratively support the expanding IMO channel through: Coordinating calendar events, processing expenses, order supplies, and booking travel arrangements for the VP, IMO Relationship Management. Operate with authority in managing the VP’s calendar to determine who has appointment access and what meetings are prioritized. May need to review email inbox to identify deadlines and high priority matters. Participate in IMO Channel project teams and support IMO initiatives with administrative management. Assist with preparing meeting agendas and generate action items/takeaways. Coordinate calendar events, process expenses, order supplies, and book travel arrangements for the VP, Internal Sales. Operate with authority in managing the VP’s calendar to determine who has appointment access and what meetings are prioritized. Responsible for generating, owning, and communicating Individual Retirement Strategies administrative reporting. This includes, but is not limited to: Organizational corporate card reporting, Business Compliance Review (BCR) rejection reporting, Sales leadership report outs/scorecards, Internal Sales channel hierarchy, Sales territory maps, Organizational charts, SOPs, etc. Assist with the Market Metrics Sales Force Satisfaction and Effectiveness annual survey process. Participate in organizational Records Management activities for Sales, and support our Records Administrators as needed. Be an expert in Travel & Entertainment and Gifts & Entertainment policies for Individual Retirement Strategies. Communicate sensitive information to executive leadership and/or external sources. The role may often handle confidential information. Backup support for our expense BCR team, promotional item invoicing process, and our Marketing Reimbursement process as needed. Assist in coordination of events and conferences with internal and external partners, as needed. Must be willing to travel to our Retirement Strategies sites and/or conferences to support on-site meetings and initiatives, as needed. Participate in cross-channel backup, cross-training, and ad-hoc project work. Qualifications: Three or more years of experience in executive or administrative support Excellent technology skills, specifically with AI tools, Microsoft Word, Excel, Outlook, and PowerPoint. Professionalism and discretion in handling highly sensitive and confidential information Ability to make accurate and timely administrative decisions. Excellent organizational skills, attention to detail, strong proofreading capabilities, with excellent written and oral communication with executive leadership. Ability to develop relationships and operate in a team environment. The salary range for this role is from $69,200.00 to $103,000.00. Specific pricing for the role may vary within the above range based on many factors including geographic location, candidate experience, and skills.
