Job Summary
Join our dynamic studio team as a Sr Specialist, Studio Production, where you’ll play a pivotal role in bringing creative ideas to life. In this position, you’ll manage the flow of projects from concept to completion, ensuring timelines, resources, and deliverables stay on track. You’ll coordinate shoots and content capture, handle logistics, and support vendor and freelancer onboarding. Acting as the central hub between creative, production, and business teams, you’ll streamline workflows, maintain operational standards, and keep communication clear and proactive. This is an opportunity to combine organizational expertise with creative energy to deliver high-quality, impactful content.
This role is based in Philadelphia, PA with a hybrid schedule—4 days in the office and 1 day remote.
Job Description
Core Responsibilities
Project & Workflow Coordination
Support end-to-end tracking of creative, design, video, and integrated campaigns through the studio’s project management systems.
Assist with project intake, resource requests, timelines, and status updates.
Maintain and update production schedules, workback plans, and task assignments.
Monitor deliverables to ensure teams are aligned on dates, dependencies, and approvals.
Shoot & Production Logistics
Assist in planning and coordinating small shoots, remote recordings, interviews, and content capture
Handle production logistics such as talent bookings, permits, travel, equipment coordination, catering, releases, and call sheets.
Attend shoots (where relevant) to support set operations and ensure a smooth production environment.
Resourcing & Vendor Support
Support the resourcing team by tracking availability, assignments, and freelance needs.
Help onboard freelancers and vendors, including NDAs, system access, and invoicing support.
Assist with vendor estimates, SOWs, purchase orders, and budget tracking.
Operations & Workflow Support
Maintain and update studio project intake flows, timelines, and workback schedules within project management tools.
Support development and implementation of studio workflows, SOPs, and operational playbooks.
Ensure deliverables follow the studio’s naming conventions, documentation requirements, and archival standards.
Communication & Cross-Functional Liaison
Serve as a central point of coordination between creative, production, marketing, comms, product, and business teams.
Provide clear communication regarding timelines, expectations, and next steps.
Prepare and distribute agendas, status docs, recap notes, and production schedules.
Regular, consistent and punctual attendance. Must be able to work nights and weekends, variable schedule(s) as necessary.
