Effective calendar management – managing complex executive schedules, understanding priorities, scheduling meetings, and resolving conflicts effectively and efficiently

Scheduling all aspects of travel (domestic and international) – available off hours as needed – ensure all necessary documents and processes are followed in advance of the trip

Accurately processing expense reports with timely submission in accordance with all policies and procedures

Prepare for meetings – includes booking conference room, escorting visitors, printing materials, connecting Zoom calls, organizing catering, and other needs

Preparing documents and presentations for leadership, as needed
-
Maintaining accurate team documents such as department files, correspondence, contact lists and organizational charts

Attending executive meetings as needed, taking meeting minutes, and distributing action items to attendees

Establish a collaborative working relationship with the Executive Assistant supporting the VP’s direct reports, ensuring alignment with program objectives to enable seamless coordination and flawless execution between both roles.

Resourceful in getting answers to questions and communicating them effectively while anticipating needs and being proactive.

Handle confidential information with maturity, discretion, and a high degree of professionalism

Proactive email management while alerting the executive to priority actions

Obtain an understanding of the organizational key stakeholders and their support staff to be able to effectively coordinate meetings across a host of stakeholders. Develop a collaborative relationship with all the administrative staff within the enterprise and portfolio and proactively create a support infrastructure for effective coordination

Collaborate as a proactive team player, maintaining flexibility and a results-oriented approach, while also working independently with minimal supervision

Utilize strong written and verbal communication skills

Manage conflicting priorities and deadlines efficiently, balancing multiple tasks while meeting organizational goals and timelines

Minimal travel could be required for this role outside of Tewksbury, MA.
Qualifications You Must Have
-
Typically requires an AA/AS degree (or other 2-year post high school training) with a minimum of 8 years relevant experience

5+ years experience with Microsoft Office Suite
-
5+ years experience managing calendars, expenses, and domestic/international travel as an executive assistant

Active and transferable U.S. government issues security clearance is required prior to start date. U.S. citizenship is required, as only U.S citizens are eligible for security clearance.

Must be authorized to work in the U.S. without sponsorship now or in the future. RTX will not offer sponsorship for this position

This position is an onsite role, located in Tewksbury, MA and Not Relocation Eligible.

The salary range for this role is 56,000 USD - 112,000 USD. The salary range provided is a good faith estimate representative of all experience levels.
