The Wounded Warrior Project's (WWP) Executive Assistant provides executive-level administrative support to an assigned executive leader, e.g., chief financial officer, chief development officer, chief programs officer, and manages schedules, plans and coordinates meetings and events, coordinates travel arrangements, and assists with special projects
DUTIES & RESPONSIBILITIES
- Provide executive-level administrative support to assigned WWP executive leadership. Manage day-to-day administrative activities and tasks, coordinate schedules, appointments, and update calendars accordingly. Exercise discretion and confidentiality.
- Plan and schedule meetings, appointments, conferences, and teleconferences. Ensure details are communicated properly to participants, logistics are effectively planned, and travel arranged.
- Support the executive and staff to with coordination and planning of events and projects.
- Perform basic office duties. Answer the telephone, handle inquiries, direct calls, manage and organize correspondence and respond as appropriate, and maintain documents and records.
- Draft, prepare, and distribute correspondence and follow-up appropriately. Assist to prepare presentations.
- Handle confidential and time sensitive materials appropriately.
- Compile and prepare business expenses and reimbursements timely and accurately, and maintain within Concur system.
- Assist with other duties specifically related to the executive and department supported. Assist with errands. Participate in other activities at executive’s direction.
- Attend and actively participate in required training and/or meetings, including but not limited to New Teammate Orientation, WWP Cares, ASIST Suicide Prevention training, Leadership training, culture/team based training, or departmental huddles.
- Other related duties as assigned.

- Demonstrated ability to manage administrative activities for senior-level management and staff.
- Effective organizational and time management skills. Demonstrated ability to effectively manage multiple tasks, assignments, and priorities, completing them within deadlines.

- Strong written and verbal communication skills. Confident communicator with demonstrated ability to present information effectively.
- Demonstrated ability to maintain confidentiality.
- Demonstrated computer proficiency using Microsoft Office, e.g., Word, Excel, Outlook, PowerPoint.
- Ability to work overtime, including weekends as needed.
- High energy level. Self-starter; willing to take initiative.

EXPERIENCE
Requirements
- Five years of experience providing administrative support.
- Four years of experience using Microsoft Office, e.g., Word, Excel, PowerPoint, Outlook.
- Two years of experience supporting executive-level staff.
EDUCATION
Requirements
- Bachelor’s degree. Equivalent combination of applicable education, training, certification, and experience may be considered in lieu of degree.
