Position Summary:
This position serves as the point of contact for both the phones and office. The Student Services Representative assists students with questions outside of the classroom and provides various supportive services to students and the training department to ensure their success in and out of the classroom. Employee will communicate regularly and effectively with team members and supervisor. This position often works with other departments as a backup when needed.
Core Responsibilities:
The essential functions of the position include, but are not limited to, the following:
- Act as primary point-of-contact for students, potential students, graduates, and other visitors entering the facility; coordinate contact with proper departments and answer basic questions to visitors.
- Answer incoming telephone calls and route the call to the correct department.
- Answer questions from students, graduates, and employers to the best of his/her ability.
- Assist with special events planning.
- Coordinate with different departments for registration day activities. including, but not limited to, student photos.
- Take class group photos and additional training activity photos if needed.
- Coordinate departmental purchasing of supplies, e.g., main office supply, classrooms, instructor.
- Coordinate student travel and employee student pick up drivers on weekends, incoming student drivers and student flyers.
- Coordinate student dorm assignments with housing supervisor and program student key cards for dorms access.
- Work weekends.
- Provide necessary document support services for students regarding employment.
- Handle and follow queries and complaints according to the procedure.
- Organize and facilitate graduation ceremonies, including graduation luncheon coordination.
- Disperse student mail.
- Organize and facilitate a variety of educational or social activities.
- Provide additional assistance and support to department manager, as requested.
- Crosstrain for back up to other departments as needed.
- Place outside orders for T-shirts/hoodie for all other campuses (student ordering forms).
- Assist with printing, scanning, emails for student needs for employment, life, etc.
- Assist with ARI sponsored veteran, charity, local community event support.
- Update the student hallway/display area with graduation photos, community directory info, etc.
- Drive students, if needed, for Physical/Drug Testing and other reasonable transportation (emergency, leaving the course, etc.). May include out of town driving.
- Mailing/shipping for other campuses and other departments.
- Follows all company policies and procedures.
Requirements:
Required Skills, Abilities, and Experience:
- Works cooperatively or independently and inspires a team effort with all.
- Must be highly organized and able to work with minimal supervision.
- Computer skills – Microsoft Office Word, Excel, PowerPoint, Outlook.
- Telephone etiquette and protocol.
- Excellent communication skills.
- Treats others with courtesy and respect.
- Good writing and analytical skills.
- Must be comfortable speaking to students, graduates, and/or instructors in a classroom environment and/or to management level staff.
- Well-groomed, presents a positive company image.
- Safe driving skills.
Desired Skills and Knowledge:
- Experience working within a vocational educational environment.
Education and Certification Requirements:
- Required: High school diploma or equivalent.
- Preferred: Two years’ college or equivalent work experience.
- Required: Legal ability to work in the United States.
- Required: Pass a pre-employment drug screen and maintain a drug-free-status.
- Required: Valid driver license and ability to pass a pre-employment motor vehicle record (MVR) check.
