Provide administrative support to the group’s senior leader and employees; primarily located or assigned to the Business Unit (BU) in BBNs Cambridge, MA office.

Collaborate and support all other administrative teams within the organization when necessary.

Maintain senior leader calendar for meetings, events, vacation, and travel.
-
Answer routine questions on policies and procedures as it relates to the administrative performance, including expense reporting, group meals, etc.
-
Coordinate internal meetings and functions, including arranging for visitors and ordering catered food.
-
Facilitate meetings and drive slides or other material for zoom and/or in-person formats.
-
Create and process trip/expense reports and vendor check reimbursements.
-
Maintain log and track ongoing and outstanding travel claims.
-
Arrange/assist with travel reservations as necessary.
-
Arrange, schedule, and track interviews for potential new hires.
-
Handle new employee onboarding requirements as needed.
-
Coordinate, assist and potentially generate export paperwork requirements as necessary.

Coordinate office moves within the Business Unit when required.
-
Support Environmental, Health and Safety (EHS) initiatives and quarterly audits within designated areas.

Assist in maintaining company document repositories.
-
Order office supplies and maintain stock.

Coordinate and participate with other administrators across the business to build rapport and foster a unified environment.

Provide support, guidance and/or drive for evolving business changes, process improvements and the like.

Support government property inventory barcoding, tracking, and periodic audits.

Perform other administrative and clerical duties as assigned.

Qualifications You Must Have:

HS Diploma or AA/AS degree (or other 2-year post high school training) with a minimum of 4 years of relevant experience.

Proficiency in Microsoft Office 365 applications.

Proven administrative ability.

4+ years of related experience.

Excellent organizational skills.

The salary range for this role is 43,400 USD - 82,600 USD. The salary range provided is a good faith estimate representative of all experience levels.
