Executive Administrative Assistant (Contract)

Summary
This is a unique opportunity to join a dynamic 12-month Flex Executive Assistant Program designed to support senior leaders during critical transition periods. You will provide high-impact administrative support in a fast-paced environment where no two days are the same. Operating as a trusted partner to executives across different teams, you will enable seamless integration and operational excellence while working alongside a collaborative team of professionals. This role demands exceptional organizational skills, emotional intelligence, and the ability to build trust rapidly with senior stakeholders. You will be instrumental in ensuring leaders can focus on strategic priorities while you manage the complexity of their day-to-day operations, from intricate calendar coordination to comprehensive onboarding support.
Job Responsibilities
- Manage complex and frequently changing calendars to optimize leaders' time and protect strategic priorities
- Act as primary point of contact, handling high-volume email correspondence and incoming requests with discretion
- Coordinate domestic and international travel arrangements, including itineraries, visas, accommodation, and logistics
- Prepare and process expense reports, purchase orders, and financial administration tasks with accuracy
- Provide comprehensive meeting support by preparing agendas, capturing notes, and tracking follow-up actions
- Lead onboarding, ramp-up, and offboarding processes for new executives, adjusting support as needs evolve
- Build strong working relationships quickly, anticipating needs and proposing solutions that enable effective decision-making
- Develop deep understanding of key stakeholders and organizational dynamics to help leaders navigate their environment
- Identify opportunities to streamline processes, introduce time-saving tools, and improve operational efficiency
- Contribute to development of new ways of working with a mindset of continuous improvement
- Collaborate with other Assistants and cross-functional partners to ensure seamless organizational support
- Perform general office duties including ordering supplies, maintaining records management systems, and basic bookkeeping
- Prepare invoices, reports, memos, letters, financial statements, and other documents as needed
- File and retrieve corporate documents, records, and reports while maintaining confidentiality
- Read and analyze incoming communications to determine significance and plan appropriate distribution
Requirements
- High school diploma or GED required
- 5-7 years of executive assistant experience supporting senior leaders
- Proven experience in fast-moving, dynamic environments
- Experience supporting executives during transitions or onboarding periods preferred
- Startup or scale-up experience highly valued
- Demonstrated track record of building trust quickly with senior stakeholders
- Exceptional calendar management across multiple time zones and competing priorities
- Advanced travel coordination including complex international logistics
- Comprehensive expense management and financial administration
- Outstanding verbal and written communication skills
- Strong multi-tasking abilities and time management
- High emotional intelligence and interpersonal skills

Additional Details
- Location: Silicon Valley / Bay Area, CA (Hybrid: 4 days/week onsite (Mon–Thu); Friday WFH)
- Duration: 3 months
- Pay Range*: $43.50 - 49.50 per hour
- Weekly Schedule: 40 hours
- Job Status: Non-Exempt
