Executive Administrative Assistant (Contract)
Please note that this is a contract role providing services to Microsoft through external staffing partners of Allegis Global Solutions. If you are selected for this role, you will be employed by AGS and will not be an employee of Microsoft.
Summary
This position offers an exceptional opportunity to provide critical administrative and operational support to a dynamic and growing technical organization. Working closely with senior leadership and team members, you will serve as a self-directed administrative partner who acts as the primary on-site resource for day-to-day operations. Your role will be instrumental in ensuring seamless coordination across multiple functions, from managing complex scheduling needs to facilitating procurement activities and supporting team expansion efforts. This position requires a proactive professional who can anticipate needs, manage competing priorities, and maintain the highest standards of organization and confidentiality while serving as a reliable point of contact for executives and team members alike.
Job Responsibilities
- Provide comprehensive administrative support to senior leadership and team members, including calendar management and scheduling coordination
- Facilitate onboarding processes for new employees and support headcount expansion activities
- Coordinate procurement activities including purchase orders, vendor management, and equipment tracking for lab equipment and computer hardware
- Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work
- Prepare invoices, reports, memos, letters, financial statements, and other documents as needed
- Serve as backup coverage for the Executive Assistant and provide cross-divisional support
- Plan and provide support for team events and meetings
- File and retrieve corporate documents, records, and reports while maintaining organized information systems
- Read and analyze incoming communications to determine significance and plan appropriate distribution
- Prepare agendas and make arrangements for committee, board, and other meetings
Requirements
- 5-7 years of administrative experience required
- Experience working directly with executives highly preferred
- Prior experience in a fast-paced technical or corporate environment preferred
- Strong verbal and written communication skills with the ability to interact professionally at all organizational levels
- Exceptional multi-tasking abilities and time management skills
- Outstanding customer service and interpersonal skills
- Ability to work independently with minimal supervision
- Strong organizational skills with meticulous attention to detail
- Ability to maintain confidential information with discretion
- Thorough knowledge of Windows and Microsoft Office products including Word, Excel, and PowerPoint
- Proven ability to manage multiple executive calendars simultaneously
Additional Details
- Location: Reston, VA (Hybrid: 3-4 days / week onsite)
- Duration: 3 months
- Pay Range*: $34.50 - $39 per hour
- Weekly Schedule: 40 hours
- Job Status: Non-Exempt
