Position Summary:
The
Specialist position is responsible for the day-to-day execution of Penske’s Rental Training Portfolio, serving 1,700+ associates annually through 36+ virtual, in-person, and blended learning experiences.
This role manages the logistics, coordination, and production that enable smooth program delivery. You'll serve as the primary day-to-day contact through the Rental Training inbox, manage program enrollments, orchestrate event logistics across multiple vendors, and provide live producer/support during program delivery. Your work in learning technologies, event coordination, and operational systems ensures every detail—enrollment, materials, technology, vendor partnerships, purchasing—is handled effectively so facilitators can focus on instruction and participants can focus on learning.
Success in this role requires someone who can manage competing priorities, troubleshoot in real-time during live sessions, maintain strong vendor relationships, and serve as the dependable operational foundation the team relies on. You'll work closely with the Manager of Talent & OD (Rental), program designers, and facilitators, gaining expertise in enterprise-scale learning operations while developing skills in learning technologies, event production, and stakeholder coordination.
The Specialist - Talent & OD will report to the Manager of Talent & OD (Rental). This role is based in Green Hills, PA with hybrid flexibility (anticipate 3-4 days/week onsite as corporate policy evolves). Penske’s corporate offices are located in Reading, PA, 75 miles northwest of Philadelphia. This position may require travel up to 15% for training program support and team collaboration.
Major Responsibilities:
Program Production & Live Delivery Support
- Coordinate end-to-end logistics for 36+ signature live programs annually including materials production, vendor coordination, venue management, technology setup, and communication with participants, facilitators, and stakeholders
- Serve as producer for virtual instructor-led sessions: manage Zoom operations, facilitate breakout rooms, moderate chat/polls, and troubleshoot technology issues in real-time
- Provide onsite support for in-person programs including day-of logistics coordination, facilitator assistance, and real-time problem-solving
- Develop and maintain program checklists to ensure consistency and quality across all delivery formats
- Produce program materials (handouts, nametags, instructional aids, schedules, manuals) and maintain inventory of training supplies
Associate Support & Enrollment
- Manage the Rental Training inbox as primary contact for participant inquiries, enrollment requests, and program questions
- Process weekly onboarding enrollments in assigned LMS (LMS365/Oracle) and coordinate event-based registrations for live programs across all delivery formats
- Maintain the Rental Training calendar and respond to routine inquiries about courses, schedules, locations, and requirements
- Manage program enrollments, track completions, and maintain accurate training records across systems
Vendor Coordination & Event Logistics
- Manage relationships with external vendors and partners, coordinating purchasing, invoicing, and expense tracking under the direction of leadership
- Track event costs and maintain accurate expense records to support budget management
- Execute event logistics including conference room bookings, catering, hotel arrangements, and venue setup
Systems & Administrative Support
- Maintain organization systems for Teams channels and shared resources to support team collaboration
- Collect and organize participant surveys and attendance reports
- Identify opportunities to streamline processes and improve operational efficiency through tools like Smartsheet and other automation solutions
Other Responsibilities
- Collaborate with the Talent Development team on additional projects as assigned
Qualifications:
- High school diploma/GED
- 2+ years of experience in program coordination, event logistics, administrative operations, or customer service
- Strong organizational skills with proven ability to manage multiple priorities and competing deadlines
- Excellent written and verbal communication skills for professional interactions with participants, facilitators, vendors, and stakeholders
- Proven ability to multi-task in a fast-paced environment while maintaining a professional demeanor
- Proficiency with MS Office Suite (Outlook, Word, Excel, PowerPoint)
- Experience with virtual meeting platforms (Zoom, Teams) and comfort troubleshooting technology in real-time
- Ability to work independently, take direction well, and proactively solve problems
- Demonstrated ability to build and maintain professional relationships with internal and external partners
- Familiarity with learning management systems (LMS365 or similar platforms)
- Willingness to travel as necessary (15-20% travel), work a required schedule, and work on-site in Reading, PA area (hybrid role balancing remote and in-person work)
- Can complete Penske employment application, submit to a background investigation (to include past employment, education, and criminal history) and drug screening
Preferred:
- Experience coordinating training programs, events, or learning operations
- Experience with Smartsheet or other process automation/project management tools
- Background in vendor management or purchasing coordination
- Associate's degree or relevant certifications in project management, event planning, or related fields
