Responsibilities
Key Responsibilities
Event & Room Management
- Manage online reservations through Outlook and the campus calendar.
- Review and approve event requests; coordinate follow‑up meetings with organizers.
- Ensure conference rooms are properly equipped (chairs, whiteboards, clipboards, pens, markers, etc.).
- Oversee room setup and collaborate with soft services teams to align event needs.
- Set up directional signage and coordinate on‑site redirection as needed.
- Escort and assist clients or visitors throughout the building.
Communication & Coordination
- Maintain consistent communication with clients, guests, team members, and support departments.
- Develop strong working relationships with internal teams and external partners.
- Communicate updates and event details to coworkers and service partners.
Event Support
- Facilitate virtual and hybrid meetings, including creating and distributing Zoom links and recordings.
- Support event organizers before, during, and after events.
- Collaborate with vendors, particularly catering partners.
- Supervise event planning team members.
Reporting & Documentation
- Upload event photos and data into SharePoint.
- Provide weekly event summaries to the communications team for newsletter inclusion.
- Create flyers and promotional materials for campus events.
- Maintain accurate inventory of all event‑related supplies.
AV & Facility Oversight
- Maintain an organized AV storage area and ensure equipment is properly charged.
- Ensure fire‑safety clearances are upheld.
- Report AV or equipment malfunctions to the designated contact.
Qualifications
- Strong planning, organizational, and time‑management skills.
- Experience in hospitality or customer‑service environments.
- Ability to lift up to 50 pounds.
- Proficiency in Microsoft Office Suite.
- Excellent written and verbal communication skills.
- Strong budget management and event‑coordination capabilities.
