You will take ownership of scheduling, dispatch, and work order execution, ensuring every job is handled quickly, accurately, and without disruption. From urgent service calls to complex coordination efforts, you will play a key role in delivering fast, reliable service and keeping the entire operation one step ahead.
Pay: $27.88 - 31.25 hourly. The pay listed is the pay range or the pay rate for this position. A specific offer will vary based on applicant’s experience, skills, abilities, geographic location, and alignment with market data.
Schedule: Monday - Friday, day shift.

Responsibilities
Check out some of your day:
- Coordinate and dispatch technicians and subcontractors for preventative maintenance, repairs, installations, and emergency service calls while optimizing schedules and routes.
- Manage work orders end-to-end in service systems (e.g., Alliance), including creation, updates, audits, and completion tracking.
- Administer maintenance agreements, including system setup, equipment entry, documentation, and ongoing updates.
- Maintain service operations records, reports, and logs (PM reports, payroll, mileage, CARE reporting, agreements, and work order documentation).
- Partner with Service Managers, Project Managers, and sales teams to support scheduling, proposals, reporting, and invoicing documentation.
- Coordinate vendors and subcontractors, including onboarding, PO issuance, scheduling, file maintenance, and basic AP support.
- Oversee inventory, parts ordering/tracking, fleet coordination, and equipment/asset management (tools, vehicles, uniforms, supplies).
- Support daily operations including payroll processing, onboarding/offboarding, permit preparation (e.g., boiler annuals), customer escalations, and field service technology usage.
Qualifications

Required:
- Mechanical aptitude with the ability to ask questions and anticipate next steps in service processes is critical
- Experience with dispatching, scheduling, and field service coordination within HVAC, mechanical, or facilities service operations
- Proficiency with Microsoft Office Suite
- You take pride in delivering great customer service, staying organized, being a reliable team player, and showing up ready to work every day
- Ability to manage service agreements, documentation, and data entry with accuracy
Preferred:
- Experience with CMMSs (computerized maintenance management systems)
- Experience managing vendor coordination, purchase orders, and inventory tracking
