Executive Assistant
Position Overview
UHP is seeking a highly organized, proactive, and trusted Executive Assistant to directly support our Founder & CEO. This is not a traditional administrative role — this person will operate as a strategic partner and force multiplier inside a fast-moving, high-growth organization.
The ideal candidate thrives in high-accountability environments, can anticipate needs before they arise, and understands how to protect and optimize the CEO’s time, focus, and operational rhythm.
This role requires professionalism, discretion, emotional intelligence, adaptability, and the ability to execute at a high level in a dynamic and constantly evolving environment.
This is a fully onsite role based in Bentonville, Arkansas.
Key Responsibilities
Support & Governance
- Proactively manage complex calendars and coordinate meetings with external and internal stakeholders, managing shifting priorities to achieve departmental goals
- Coordinate meetings, appointments, and executive logistics
- Ensure leadership time is aligned to organizational priorities
- Serve as a liaison between the Office of the CEO and internal/external partners, demonstrating strong stakeholder management and executive presence.
Communication & Organization
- Manage requests and communications from internal and external stakeholders, ensuring timely response and follow up in a way that builds stakeholder trust
- Serve as a liaison between the CEO, leadership team, and external partners
- Screen and prioritize emails, calls, and correspondence for the CEO
- Draft internal communication, meeting notes, and executive materials
- Handle sensitive and confidential information with professionalism and discretion
Engagements & Logistics
- Coordinate executive meetings, leadership gatherings, and board support
- Manage domestic and international travel logistics, including complex arrangements requiring time sensitive coordination
- Prepare agendas, itineraries, presentations, pre-read packets, and briefing materials
- Plan VIP campus meetings and experiences
Operations & Projects
- Prepare reports, presentations, and expense documentation
- Maintain organized executive files and operational tracking
- Support special projects and assist with day-to-day operational needs
- Plan and execute stakeholder events, including on campus working sessions, offsites, all-hands meetings, operational efficiency and team building initiatives
- Facilitate timely expense reporting and vendor invoicing, ensuring compliance with company policies.
Qualifications & Experience
- 5+ years supporting C-level executives or senior leadership preferred
- Strong organizational skills and attention to detail
- Excellent written and verbal communication abilities
- High professionalism, emotional intelligence, and discretion
- Ability to multitask and adapt in fast-moving environments
- Strong follow-through and problem-solving capabilities
- Proficiency with Google Workspace, and virtual meeting tools
- Ability to anticipate needs and operate with urgency and accountability
Schedule & Work Environment
- Schedule: Primarily Monday–Friday; however, flexibility may be required based on business needs, executive priorities, and events outside of standard business hours.
- Work Environment: This position is fully onsite and based at our Bentonville office located at 702 SE 5th Street, Bentonville, AR 72712. This role operates in a fast-paced, collaborative environment and requires regular in-person interaction with executive leadership and team members.
