Legal Administrative Assistant
Our legal department operates in a fast-paced environment, and we are seeking a highly organized Legal Administrative Assistant to support its day-to-day operations. This is a fundamentally administrative position: the successful candidate will be responsible for maintaining documents, trackers, and invoices with precision, enabling counsel and staff to focus on substantive legal work. We are looking for a detail-oriented professional who values accuracy, structure, and the integrity of well-managed systems, and who takes pride in serving as a dependable foundation for a busy team.
Key Responsibilities
- Place and track outside counsel engagements and orders, maintaining clear records of status and ownership.
- Save and organize documents in strict accordance with the department's naming conventions.
- Maintain and update trackers to build and sustain a single, streamlined source of truth for the team.
- Upload materials to designated portals in a clear, coherent manner so that other parties can easily understand and follow them.
- Audit files for accuracy and consistency, renaming and reorganizing as needed to align with naming conventions.
- Review signature pages for accuracy and completeness.
- Edit documents and provide redlines as needed.
- Review invoices in detail for accuracy and compliance, then submit them in alignment with the department's budget.
- Provide administrative support to counsel and staff on additional matters as they arise.
- Keep the team aligned, informed, and highly organized across all ongoing work.
Qualifications
- Exceptional attention to detail — nothing slips through the cracks.
- A professional and discreet approach, with sound judgment around confidential and sensitive information.
- Strong organizational skills and the ability to manage multiple priorities in a fast-paced environment.
- Clear, coherent communication, both written and verbal.
- Proficiency in Microsoft Word and Adobe Acrobat.
- Comfort with document management systems, portals, and tracking tools.
Preferred Qualifications
- Bachelor's degree preferred.
- At least 3 years of administrative and/or legal support experience preferred.
- Experience with RealPage and Clockify preferred
