Maintenance planning and scheduling methods

Understanding of industrial equipment, mechanical systems, electrical equipment, and basic reliability concepts

SAP/CMMS (EMaint) workflow, including notifications, work orders, BOMs, task lists, material reservations, and backlog management
-
Reading and interpreting maintenance documentation, such as schematics, PM procedures, service manuals, calibration requirements, and repair instructions
-
Project management principles including scoping, scheduling, follow‑through, status tracking and reporting to all levels of site management.

Contractor or vendor coordination, and department safety coordinator for site contract activities
-
Material procurement, parts identification, and component tracking

Maintenance compliance requirements (PM compliance, CAPAs, RIDIIS, inspections, EHS items)

Must demonstrate strong organization, communication, coordination, and follow‑through skills, with the ability to track multiple open actions simultaneously and ensure timely completion of maintenance deliverables. Requires proficiency in SAP PM/CMMS (EMaint) platforms, Ariba or similar procurement systems, and standard office applications.
Under general direction of supervision, review daily SAP notifications, work orders, contractor service needs, and operational maintenance demands to plan, coordinate, and schedule maintenance activities. Duties include, but are not limited to:

Review incoming SAP notifications to verify accuracy of descriptions, assign responsible groups, ensure required documentation is attached, and identify materials, permits, and labor skills required for execution.

Create, update, prioritize, and release work orders to support maintenance, reliability, and operations requirements.

Track open notifications and work orders and follow up with technicians and leadership to ensure timely progress.

Develop and maintain weekly, monthly, and long‑range maintenance schedules based on resource availability, equipment downtime windows, contractor lead times, and operational priorities.

Coordinate with supervision, maintenance leads, and operations to align planned work with production schedules and facility needs.

Identify conflicts, resource bottlenecks, and schedule risks, escalating issues as needed.

Identify materials, tools, specialty components, and contractor services required to execute upcoming work.

Initiate and track purchase requisitions through Ariba (or procurement tools) to ensure availability of critical parts.

Maintain visibility of lead times, delivery schedules, and vendor delays, escalating urgent needs when required.

Coordinate with storeroom personnel to ensure accuracy of reservations, staging, and inventory levels.

Serve as point of contact (POC) for contractor coordination, service scheduling, and on‑site support.

Communicate job scopes, site requirements, safety rules, and timelines to external contractors.

Assign tasks to contractors, monitor work progress, verify completion, and support invoice reconciliation and documentation.

Maintain contractor schedules and ensure all external work is aligned with planned maintenance activities.

Initiate, track, and document RIDIIs actions, CAPAs, EHS tasks, and compliance-driven maintenance activities.

Follow up with responsible parties to ensure corrective actions and reliability improvements are completed on time.

Maintain accurate records for audits, inspections, and reliability reporting.

Provide weekly status updates to maintenance leadership and reliability personnel.

Assist in planning, coordinating, and closing out maintenance projects such as overhauls, shutdown work, equipment changeouts, and major repairs.

Define scope, required labor, materials, timelines, and risk factors for scheduled projects.

Track project milestones, update leadership on progress, and escalate delays or constraints.

Communicate schedule updates, work order status, part delays, contractor timing, and maintenance risks to supervisors, leads, and operations.

Prepare weekly reports, backlog summaries, scheduling dashboards, and maintenance KPI updates as required.

Maintain thorough documentation within SAP and shared systems to support audits, compliance, and reliability programs.

Attend and participate in maintenance, reliability, and operational meetings, providing updates on work order backlogs, contractor activities, materials, and schedule adherence.

May participate in EHS committees, emergency response support, or reliability improvement teams as assigned.

Assist supervision and engineering with special projects requiring planning, materials coordination, or contractor involvement.

Perform similar duties within the scope of the job description as needed to support facility maintenance operations.

Must be able to professionally communicate detailed scheduling, planning, and maintenance processes to technicians, supervisors, leadership, and cross‑functional groups. Must be capable of translating technical details into clear, actionable information for decision‑makers.

May be required to train for, obtain, and maintain certifications relevant to maintenance planning, safety, project management, or contractor coordination (e.g., PM certification, OSHA training, LOTO training, procurement training, CMMS (EMaint or other) certification.
Qualifications You Must Have:

HS diploma (or equivalent, e.g. G.E.D in the US) with a minimum of 6 years relevant experience.
