The Joint, Office of the Secretary of Defense, Interagency Division provides expert support services to a range of customers spanning across the Department of Defense, Federal Civilian, and international markets. JOID provides a diverse portfolio of analytical and programmatic capabilities to help our customers make informed decisions on their most challenging issues.
The Acquisition and Technology Analysis Group within JOID specializes in the application of multi-disciplinary analytic skills to support multiple clients within the Department of Defense (DoD). These clients include the Office of the Under Secretary of Defense for Research and Engineering (OUSD(R&E)), Office of the Under Secretary of Defense for Acquisition and Sustainment (OUSD(A&S)), DARPA, the Joint Staff, and USINDOPACOM. SPA provides critical decision support to enabling and executing a strategy of technological superiority and enabling the delivery and sustainment of secure, resilient, and preeminent capabilities to the warfighter quickly and cost effectively. Our team of experienced military, technical, and operations research analysts is skilled in evaluating military problems, identifying the driving factors, devising innovative approaches, collecting applicable data, developing necessary software tools, and performing thorough and timely assessments to inform technology and acquisition governance decisions to ensure U.S. military forces retain military superiority in the future.
We have an immediate need for a Business Process Transformation Analyst to provide onsite support out of the Pentagon in Arlington, VA.
Responsibilities
The Business Process Transformation Analyst will serve as an OUSD (R&E) expert for reengineering administrative, workflow, and records processes using Microsoft 365 cloud technologies. This role will bridge operations with modern digital tools to improve correspondence management, task tracking, document control, performance reporting, and knowledge management. The position supports enterprise-level improvements across Front Office operations through design, analytics, and implementation of digital solutions. Analyze existing business processes (workflows, correspondence routing, records management, administrative operations) and develop modernization plans creating SharePoint Online, Power BI, and other Microsoft 365 capabilities consistent with continuous improvement objectives. Develop SharePoint-based digital records systems compliant with WHS AI-15, NARA standards, and R&E records SOPs, supporting electronic records programs. Create interactive Power BI dashboards that enable leadership visibility of CATMS taskers, travel trackers, operational metrics, workflow aging reports, and performance management data. Establish document quality control protocols for Microsoft Word, PowerPoint, and Adobe PDF files to meet senior-level expectations for accuracy, readability, formatting, coordination, and compliance with PRS and Part 5 deliverable standards. Build automated workflows using Microsoft 365 SharePoint to streamline correspondence preparation, document reviews, calendar support materials, briefing products, and coordination processes. Support Operations Managers and Project Managers with digital tools for tracking tasks, milestones, workflows, SOP updates, and process refinements. Enhance knowledge management by creating standardized Microsoft SharePoint digital libraries, templates, dashboards, and document repositories tailored to senior leader needs. Conduct training, readiness assessments, and user adoption support to ensure personnel integrate new digital processes into daily operations. Ensure compliance with DoD information security, CUI, and accessibility standards, including Section 508, DoDM 5200.01, DFARS safeguarding requirements, and organizational security policies. Serve on an executive Front Office operations team that provides interface for the organization by professionally managing communications and engagements with the public, internal stakeholders, and senior officials; prepare and coordinate high‑quality written correspondence; maintain awareness of inquiry topics to ensure proper routing within the R&E enterprise; and support essential Front Office administrative functions—including visitor coordination, office security procedures, scheduling, workflow management, and upkeep of office appearance—to support an efficient, high‑paced executive environment.
Qualifications
Required:
- 10+ years of recent and relevant experience providing high-quality support to Executive-level personnel in fast-paced and complex environments.
- Bachelor’s degree.
- Excellent communication and interpersonal skills with the ability to interact effectively with diverse stakeholders, including senior leadership and external organizations.
- Strong initiative, exceptional organizational skills, and high proficiency in CATMS.
- Proven experience in correspondence management and coordination, with a focus on drafting and reviewing documents for senior leadership.
- High proficiency in Microsoft 365 suite, SharePoint, and DoD365 Copilot, Power Platform, and applications.
- Strong knowledge of records management practices and demonstrated skills in training and process improvement.
- Active TS/SCI clearance.
- Able to work fully onsite based on client needs.
Desired
- Experience working within the DoD or familiarity with military protocols, policies, and operations.
- Familiarity with National Archives and Records Administration (NARA) requirements for records management.
Pay Range Information
