As an Administrative Assistant on the Wealth Management team, you will bring structure, attention to detail, and a quality focus to our high-paced organization. Working closely with us, you will represent our senior leaders with professional courtesy and acumen, delivering flawless work output. Your daily routine will include interacting with various executive level internal clients, and other Administrative Assistants across our lines of business. Together, we will adapt procedures, processes, and techniques to achieve our department's goals. This role provides an opportunity for professional growth and skill enhancement in a dynamic environment.
Job Responsibilities
- Maintain and manage complex and detailed calendars
- Screen incoming calls and determine the level of priority, while using caution in dispensing information
- Manage the coordination and logistics of both internal and external meetings
- Arrange and coordinate complicated domestic and international travel
- Organize all aspects for offsite conferences and external events, including catering and transportation
- Process invoices, Travel and expense claims for team members.
- Ensure all policies are followed and items are processed within provided guidelines.
- Act as a subject matter experts for policies and procedures
- Work cooperatively with the administrative assistants team, in positive partnership to support each other smoothly
Required Qualifications, Capabilities and Skills
- 3 years of administrative experience
- Advanced calendar management skills
- Strong PC skills (proficient knowledge of MS Outlook, Word, Excel, and PowerPoint)
- Superior oral and written communication skills
- Excellent telephone etiquette and ability to manage competing priorities
- Advanced ability to organize
- Tact and good judgment in confidential situations and proven experience interacting with senior management
Preferred Qualifications, Capabilities and Skills
- Experience supporting at the Executive Director level (or equivalent)
