The Fleet Administrator is responsible for maximizing efficiency and ensuring compliance for the company’s fleet. This role reports to the Fleet Manager and performs administrative and compliance functions to support transportation and logistics for the company.
Essential Duties and Responsibilities:
- Support Fleet Manager with administrative and compliance functions for all fleet programs
- Partner closely with Management, Operations Support, Accounting and other department to ensure compliance and timely resolution of fleet issues
- Responsible for ordering cards for new trucks and distributing to the GMs.
- Audit fuel bills and email GMs when drivers have violated fuel exception codes.
- Maintain spreadsheet for new, reissued and or replaced fuel cards and coordinate with Accounting to assign fuel card fees to corresponding branch.
- Provide support for Fuelman card issues, fact-find and resolve quickly.
- Email New Hire Fuel Pin to GM or ABGM. Manage and terminate Driver fuel pin for employee terminations.
- Upon receipt of new fleet, prepare and mail truck decal package from decal checklist.
- Format, Print, Laminate and Distribute insurance cards for each truck at renewal. Issue new insurance card upon receipt of truck delivered.
- Upon receipt of new fleet and certificate of lease, add LPS Truck # and email GMs to print, laminate and place in permit book.
- Assign FOB's to drivers upon GM's request. Set up new Managers and Driver Leads.
- Compile MITS mileage report for spreadsheet to load mileage onto WedOdometer
- Audit Ryder Full Lease and Maintenance Bills. Partner with Accounting.
- Other duties as assigned.
Essential Duties and Responsibilities:
- At least 3 years experience in an administrative role
- Experience in fleet administration strongly preferred
- Effective time management and organization skills
- High proficiency with Excel and other Office products
- Successful passing of pre-employment drug screen and background check
