Overview
Create the desired conference and meet clients' needs through active communication, planning, and team leadership. Reporting to the Director of Catering & Conference Services while Supervising the Conference Services Coordinator.
Responsibilities
- Primary responsibility is to provide clients, guests and/or event planners a smooth transition between the Sales and the Conference Service departments once the contracted piece of business is received.
- Ensure program logistics are delivered and clearly communicated throughout the operational departments.
- Ensure all contracted obligations are met with guest rooms, meeting space, food & beverage, and incorporate up-sells whenever possible.
- Provide information to operational departments, supervisors, colleagues, and subordinates by telephone, in written form, e-mail, or in person.
- Foster lasting relationships with current clients, guests and/or event planners.
- Consult with customers to determine objectives and requirements for events such as meetings, conferences, and special occasions to plan scope and format of events, to establish and monitor budgets, review administrative procedures and event progress.
- Work closely with Group Sales to sell menus that meet the clients’ needs and maximize revenues.
- Upsell product and services to client to provide maximum revenue for hotel.
- Coordinate services for events, such as accommodation, transportation for participants, set up of facilities, food and beverage, signage, displays, audio visual, special needs requirements, event security and other event needs.
- Plan and develop programs, agendas, budgets and services according to customer requirements.
- Actively participate in industry related organizations (NACE, MPI), community/civic activities to maintain awareness within community and to create booking opportunities.
- Organization of event activities to ensure compliance with applicable regulations and laws, satisfaction of participants and resolution of any problems that arise.
- Conduct Menu Tastings for qualified events and partner with clients to provide guidance in meal selections according to their vision and preferences.
- Close consultation with the Executive Chef and Banquet Chefs will be necessary acquire the proper understanding of established and customized menus.
- Evaluate, order and select providers of services according to customer requirements.
- Communication of event details to coordinating hotel departments to ensure proper delivery of event expectations.
- Inspect event facilities to ensure that they conform to customer requirements.
- Review event bills for accuracy, and approve payment.
- Communicate effectively via blogs for maximum sales exposure for Hotel.
- Ability to always look for opportunities to promote the hotel via vendors, Public Relations approved submissions to magazines, or anything that will paint the hotel in a good light and push for sales for the hotel.
- Details/services weddings and other special events as needed.
- Work with Director to ensure PMs system is accurate and up-to-date for F&B forecast.
- Work with banquets to maximize the efficiency of meeting space.
- Facilitate BEO and Resume meetings as needed.
- Maintain consistent and up to date billing records for groups.
- Any other job-related duties assigned by their Supervisor.
Qualifications
- Requires walking or standing to a significant degree.
- Ability to lift 30 lbs.
- Ability to effectively deal with internal and external customers, some of whom will require high levels of patience, tact and diplomacy to defuse anger, collect accurate information and resolve conflicts.
- Ability to promote positive relationships with guests and staff.
- Ability to perform job function with minimal supervision even under pressure.
- Ability to ensure security and confidentiality of guests and hotel data.
- Ability to enforce hotel's quality procedures.
- Ability to work independently without direct supervision or as a cohesive team.
- Ability to be a clear thinker, analyze and resolve problems exercising good judgment.
- Use mathematical skill to interpret financial information, prepare forecasts and compute costs for customers and hotel.
- Ability to remain calm and courteous with demanding/difficult situations.
- Requires coordinating skills to the extent of determining time, place, and sequence of operations to take place.
- Must be able to work a flexible schedule including night, weekends and holidays.
- Three to Five years’ experience in a Hotel Catering Sales or Conference Services Department, preferably at a Four-Star hotel.
