What will you do?
The Procurement Specialist plays a pivotal role in supporting the Finance Department’s purchasing function by ensuring efficient procurement processes, logistics coordination, and administrative support. This role is integral to maintaining the seamless flow of goods and services across the organization, from managing shipping and receiving operations to acting as a backup for higher-level procurement tasks. The Procurement Specialist is also responsible for maintaining confidentiality in financial matters and contributing to the overall efficiency and effectiveness of the Finance Department through cross-functional support and collaboration.
Duties & Responsibilities:
- Oversee and coordinate the shipping and receiving processes, including managing storage logistics, scheduling carriers such as UPS and FedEx, and conducting thorough inspections of incoming goods and products to ensure compliance with quality standards.
- Ensure the efficient operation of the centralized shipping area, facilitating the timely distribution of packages across the campus.
- Serve as the designated backup for the Procurement Specialist II, with the capability to utilize the Financial Edge system to generate purchase orders when required.
- Execute daily mail collection and delivery, ensuring accurate and timely distribution to designated recipients.
- Provide support for various administrative tasks, including document scanning, filing, and other duties as needed.
- Uphold the highest standards of confidentiality in all finance-related responsibilities.
- Perform additional duties as assigned, contributing to the overall efficiency of the department.

What do you offer?
- A minimum of two years of experience in related job functions, demonstrating a solid understanding of procurement, logistics, or finance.
- Forklift Operation: Forklift certification or relevant experience is preferred, enhancing the ability to manage material handling tasks.
Proficiency in Microsoft Office: Demonstrated expertise in Microsoft Office suite, including Excel, Word, and Outlook.
- Accounting Systems Knowledge: Preferable experience with integrated accounting systems and an understanding of business processes.
- Web-Based Financial Systems: Familiarity with web-based financial systems is advantageous.
- Cross-Training Capability: Ability to learn and adapt to additional duties within the finance department, ensuring seamless support across functions.
- Customer Service Orientation: Strong focus on customer service, with excellent verbal and written communication skills for effective interaction with both internal and external stakeholders.
- Valid Driver’s License: Possession of a valid driver’s license with the capability to travel within Virginia and occasionally out of state for business purposes.
Physical Requirements:
- Mobility: Ability to move freely between facilities, with the physical capability to navigate various environments as needed.
- Light Physical Activity: May involve light physical tasks, including routine lifting of up to 25 pounds.
- Keyboard Operation: Proficient in the operation and manipulation of a keyboard, essential for completing various administrative tasks.
