What will you do?
The Contract and Financial Reporting Specialist will play crucial roles in the efficient management of contracts and grants. This role is responsible for assisting in the administration, coordination, and monitoring of contracts and grants to ensure compliance with organizational policies, donor requirements, and regulatory guidelines.
Duties & Responsibilities:
- Assist in the management process to monitor, approve, and review expenditures for grant, contract, and department budgets.
- Interpret relevant terms and requirements of contracts and grants to be applied in billing and financial reporting activities.
- Assist with grant/contract cost share/matching requirements and provide documentation accordingly.
- Maintain a portfolio of grants, contracts, and other agreements by coordinating billing and receivable matters with internal and external customers.
- Maintain accurate records of grant and contract expenditures.
- Monitor departmental voluntary and mandatory cost sharing.
- Incorporate guidance from legal counsel into contracts and other regulatory documents as directed.
- Process consultant agreements, travel vouchers, purchase orders, reallocation of expenditures, and other expenses.
- Review and prepare timely and accurate invoices for a wide range of contracts and grants from federal, state, local, and private sponsors.
- Reconcile and analyze revenue and unbilled amounts on a monthly/quarterly basis to ensure accurate and timely billing and calculate billing charges in accordance with contract/grant requirements.
- Maintain comprehensive and accurate records of grants and contracts, including documentation of key correspondence, milestones, and deliverables.
- Prepare regular reports on grant and contract activities, expenditures, and outcomes for internal and external stakeholders.
- Monitor financial administration of grants and contracts to ensure that proper documentation is submitted for expenditures and that requests for funds are made within the time limitations specified.
- Assists with any changes to award budgets and submits necessary paperwork for approval of such actions.
- Compile financial data for use in forecasting and analysis.

What do you offer?
- Bachelor’s degree in business administration, Public Administration, Finance, or a related field.
- Minimum of 2 years of experience in grants and contracts administration or a related field.
- Experience with various technological devices and switchboard operations.
- Knowledge of federal grant and contract billing and collections, federal payment systems, award financial management, and compliance.
- Knowledge of general ledger accounting and the ability to perform reconciliations with externally funded projects.
- Previous experience with administering contracts with non-profit organizations, government entities, and other grant recipients.
- Proficiency in Microsoft Office products (i.e., Word, Excel, Access, etc.).
- Proficient with Microsoft Office products.
- Demonstrates strong communication skills, both oral and written.
- Detail-oriented and organized.
- Customer service-oriented with excellent interpersonal skills.
- Ability to work effectively in a team-oriented work environment.
- Capable of multitasking and troubleshooting in a fast-paced work environment.

IALR will offer a salary of $55,000 - $65,000, depending on experience.
