JOB DESCRIPTION
Your Role
The IT Business Operations team is a trusted team who enables the Information Technology organization to become a business-oriented, product led, Agile organization. The Administrative Assistant, Specialist will report to the Sr. Director of IT Business Operations. In this role you will support the IT Senior Leader, the Chief of Staff to the CIO and the directors of the organization as a key member in creating a productive and organized high performing team.
Your Work
In this role, you will:
- Be responsible for providing administrative support to functional area(s), department manager(s) and/or staff
- Use automated office equipment and business applications as needed such as PowerPoint, Excel, expense management and travel booking software
- Act as an information source on organization policies and procedures
- Assist with onboarding new employees
- Screen calls, take and deliver messages, provide information to callers
- Plan key events: Annual IT Leader Summit, Program Increment Planning, CIO Staff meetings, community events and other activities
- Partner with the IT Business Operations Office of Leader to conduct effective staff meetings, All Hands Meetings, quarterly team events, staff onsite events
- Submit expense reports, manage travel
- Coordinate with the IT SLT administrative assistant team to orchestrate calendars, onsite events and activities
- Direct employees to the right resources to self-serve for day to day needs as the resident expert
QUALIFICATIONS
Your Knowledge and Experience
- Requires a high school diploma or GED
- Requires at least 7 years of prior relevant experience
- Experience providing administrative support to senior leadership, preferably in a technical organization
- Familiarity with business applications including Outlook, PowerPoint, and Excel, as well as expense management and travel booking software such as Concur
- Experience with event planning is preferred
- Ability to multi-task and prioritize work in a fast-paced environment, maintaining quality and timelinessStrong verbal and written communication skills, with the ability to interact with all levels of the organization
Pay Range:
The pay range for this role is: $ 31.39 to $ 43.94 for California.

Please note that this range represents the pay range for this and many other positions at Blue Shield that fall into this pay grade. Blue Shield salaries are based on a variety of factors, including the candidate's experience, location (California, Bay area, or outside California), and current employee salaries for similar roles.

Physical Requirements:
Office Environment - roles involving part to full time schedule in Office Environment. Due to the current public health emergency in California, Blue Shield employees are almost all working remotely. Based in our physical offices and work from home office/deskwork - Activity level: Sedentary, frequency most of work day.
