Role Purpose:
- To ensure an effective and customer focused service is provided in accordance with the contract specification and agreed service levels.
- To develop and maintain a positive relationship with Mastercard clients and customers.
- To provide core reception services while supporting the C&W Facilities Manager in the delivery of facilities to the Budapest office.
Core Responsibilities:
- Complete all reception tasks and oversee the catering activities including meeting room reservations, timely delivery and prompt removal and disposal of catering foodstuffs as required.
- Approach visitors proactively to welcome and help check in.
- Ensure reception is clean and tidy to a Gold Standard. Highlighting anything to cleaners/management
- Maintain meeting facilities, coordinates booking of meeting rooms, coordinates the supply of meeting room AV equipment and orders tea/coffee or catering for business meetings as required through the on-site caterer.
- Complete room inspections and report any issues daily.
- Receive outgoing mail and process for sending either through internal / external mail. This includes booking and receiving mail through courier companies.
- Assist security with issuing access badges.
- Sign in all visitors and issue / retrieve visitor passes.
- Meet and greet all clients / visitors in a friendly and professional manner.
- Develop positive relationships with clients, local management, and service providers. Proactive in client assistance and promptly responds to problems and concerns that are recurring or of a sensitive nature, in line with all site rules and regulations.
- Interface closely with the Client and customers to understand requirements and proactively provide solutions and recommendations.
- Assists with event management and meeting venues set-up and co-ordination as requested.
- Provide high quality customer service to both internal and external customers.
- Respond to client needs and coordinate resources to resolve issues.
- Respond to any visitor enquiries in a friendly and professional manner.
- Input all job requests in Facilities Management 360 system and ensure work orders are closed out daily.
- Implementation of initiatives to ensure that best practice is achieved in every aspect of service delivery with particular focus on cost, quality, and client satisfaction.
- Performs daily services within the contract standard scope of works / KPI.
- Assist with monitoring outsourced contractors on as needed basis for safety and security.
- Support in any emergency evacuation plans.
- Provide input at regular management meetings.
Qualities and Personal Attributes: Essential (unless noted as Desirable)
- Minimum of 2 years’ experience working as a receptionist in a Corporate or Hospitality environment.
- Extremely strong customer services skill.
- Have good anticipation, analytical skills, with problem solving aptitude in a busy environment.
- Strong command of Hungarian AND English language required; oral and written.
- Able to work in a team environment but also independently as required.
- Addresses issues quickly, makes informed decisions and takes ownership regardless of the outcome
- Experience using MS office and other common IT programs.
- Ability to work both accurately and demonstrating an attention to detail.
- Excellent communication skills and ability to interface at all levels.
- Good interpersonal skills and team building.
