Program Summary

Awarded by the Air Force Installation Contracting Center, our contract spans a five-year base period with three one-year options, reflecting our commitment to excellence and operational support.
Job Summary
Join our team as an Administrative Assistant in Incirlik, Turkey, where you'll perform administrative activities aligned with U.S. Air Force standards. In this role, you'll deliver essential correspondence and coordination, developing a system of record keeping that adjusts to the demands of the Air Force customer. Roles and Responsibilities
- Prepares correspondence, reports, spreadsheets and various documents using Microsoft Office; Outlook, Word, Excel, PowerPoint, Publisher etc.
- Do personnel recalls when required and execute other duties related to securing and maintaining the building and its occupants when/if necessary
- Responsible for managing electronic and paper files as the unit Records Manager
- Enforces standard of quality for all written correspondence leaving the organization. Prepare, proofread, update, route, track, save/load and follow-up on all required documents, appointment letters, work instructions, inventories, training logs, reports, briefings, etc.
- Provides both written and oral translation from English into Turkish and vice versa
- Prepares and coordinates contractors’ personnel list (EALs) and private vehicles (POVs) for Airfield and restricted areas
- Prepares and coordinates Kindly Submitted Letters for correspondence with the various base agencies and 10th Main Jet Base Command for various subjects, such as road closures & power outages, etc.
- Ensures current publications and forms are utilized throughout the unit
- Prepares, submits and coordinates access approvals on all Temporary Duty (TDY) requests/requirements
- Schedules appointments/meetings, manages conference room use and performs various clerical/administrative duties to include taking and publishing meeting minutes
- Answers phones, transfers and takes messages as required
- Maintains Design project status spreadsheets
- Updates Construction History Spreadsheet and sends it to Programming Office to be forwarded to The Turkish Air Force quarterly
- Maintain internal design trackers
- Enters Warranty data about the accepted projects to O&M Recall Data Base and sends e-mail to Shops
- Fills in daily attendance exception reports and sends to Personnel Office (PMO)
- Sends weekly reports to Design Section for the updates of the projects
- Coordinates drive-arounds with Wing and Mission Support Group commanders, including arranging transportation
- Coordinates Vehicle Control Office training and sends attendance logs to the VCO
- Updates Workload Data reports at the end of each fiscal year
- Coordinates approval of photo authorization letter with 39 ABW/PA twice a year
- Updates NexGen IT after project award
- Physical requirements include lifting up to 50 lbs, extended sitting or standing, and working in normal and adverse weather conditions
Basic Qualifications
- Turkish Citizen
- Four-year university degree
- English proficiency: Reading Level III, Written Level III, Verbal Level III
- If male, military obligation must be completed
- Proficiency in native language (Turkish)
- Class B (passenger vehicle) driver’s license
Preferred Qualifications
- Prior experience working as an Administrative Assistant
- Prior experience working for the US military
- Prior experience working on Incirlik Air Base
All positions require the applicant to obtain and pass a medical physical that is certified by a doctor.
All positions require a current and favorable Turkish Security background check.
