DESCRIPTION
We are looking for a talented onsite Branch Administrative Assistant to join our Team specializing in Service for our Branch in Nashville, Tennessee.
In this role, you will make an impact in the following ways:
- Coordinates documents and gathers and inputs data related to assigned administrative support duties for a team, department, function or other organizational leader/group. Completes work with a limited degree of supervision.
- Provides administrative support by conducting research, preparing statistical reports and addressing routine to complex information requests.
- Gathers, compiles and verifies information and enters it accurately into documents such as reports, presentations or forms; and office systems such as databases or spreadsheets.
- Completes data collection, data entry and report generation on various departmental related activities including documentation for payment of Vendors, Suppliers and other Third Parties as applicable while responding to inquiries from Accounts Payable and Payees.
- Performs associate functions as preparing correspondence, receiving visitors, arranging conference calls, scheduling meetings and planning/coordinating Community Involvement Events (EEEC) to help support the branch goal of 100% participation.
- Responds to, or redirects, routine to complex inquiries from external or internal sources about the organization/department, its activities, or processes to ensure callers/visitors are answered promptly and accurately.
- Actively participate in ways to improve safety through observations within the Branch to maintain and support the goal of an injury free workplace.
RESPONSIBILITIES
To be successful in this role you will need the following:
- Requires some work experience or intermediate level knowledge obtained through education, training or on-the-job experience.
- Ideal candidate will be detail-oriented with the ability to multi-task, take ownership and drive a project/task effectively and efficiently.
- Excellent customer service skills and the ability to effectively communicate in a positive and professional manner in person, over the phone and via email communications.
- Accounts Payable and knowledge of Concur/Ariba System preferred.
- Please note, this position is 100% onsite at our Nashville Branch.
QUALIFICATIONS
Education, Licenses, Certifications
- High school diploma or certificate of completion of secondary education or equivalent experience to the extent such experience meets applicable regulations.
- This position does not require any Department of Transportation (DOT) related pre-screenings.
