Position Overview
The primary focus of this role is to provide a wide range of administrative services for department managers. To execute this role effectively, the assistant should have a high degree of situational awareness and be technically proficient, able to work independently, proactive, flexible, adaptable, self-motivated, and a team player. The assistant should work effectively in a complex and demanding environment while maintaining a professional attitude and demeanor. The role continuously requires a high degree of autonomy. The role necessitates collaborating with multiple projects and departments.
District Overview
Kiewit's Southeast District is one of Kiewit's leading infrastructure districts specializing in heavy civil, transportation, and water resource markets. Projects you could be working on could include building bridges, airports, mass transit systems, canals, dams, pump stations or tunnels. Although most of our work is regionally based in the southeast region of the United States, we also pursue various projects stretching across the east coast. We are looking for individuals who are passionate about infrastructure and committed to the construction industry instead of design.
Responsibilities
- Edit and format correspondence, presentations, proposals, and reports
- Serve as a back-up to other office administrative staff
- Organize and schedule meetings and appointments, book meeting rooms, handle any special requests
- Coordinate travel itineraries and arrangements
- Process expense reports, invoices, and orders
- Perform clerical tasks including data entry, filing, photocopying, scanning, etc.
- Perform other administrative duties as required or assigned
Qualifications
- High School Diploma
- At least one year of experience as an administrative assistant
- At least one year of meeting and event planning experience
- Be able to lift 15-20 pounds (office supplies, cases of paper)
Preferred Qualifications
- Highly flexible and able to work efficiently in a high-volume, deadline-driven environment
- Be highly organized with exceptional time management skills
- Ability to prioritize and work effectively under pressure in a fast-paced environment, sometimes with minimal guidance
- Requires skills in using computer applications for word processing, spreadsheets, databases, internet navigation, e-mail, and calendars
- Proficient with Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) with the ability to learn and adapt to new programs and processes

- Communicate and interact effectively and professionally with supervisors, employees, and others individually or in a team environment.
- Perform work safely and effectively. Understand and follow oral and written instructions, including warning signs, equipment use, and other policies.
- Work during normal operating hours to organize and complete work within given deadlines. Work overtime and weekends as required.
