Overview
In this role, you will work hand in hand with project team members to coordinate project needs, contracts and support solutions properly for business operations and efficient staff management.
Your responsibilities will include:
- Compiling and creating expenses reports once receipts are organized and coded for reimbursement
- Updating and produces organizational charts for assigned business unit, projects and proposals as necessary
- Assisting in timesheet review (checking for accuracy and appropriate projects, account numbers, etc.) and approval
- Formatting, compiling, proofreading specifications
- Compiling and distributing project packages for Permit, Tender, Construction, etc.
- Preparing billing when requested and inter office invoices and client invoices for design only services
- Preparing the required documentation for Field Orders, Addenda, etc.
- Processing Field Reports, Punch Lists, OAC meeting notes, and all other construction related material
- Maintaining a personnel calendar of events log to track new hires, departures, promotions, etc. within the business unit
- Scheduling meetings and reserving conference rooms
Education/Experience:
- High school diploma required; some college or applicable business certification preferred
- A minimum of three years of office/administrative experience

- Proficient in Microsoft Office (Excel, Word, PowerPoint)
- Demonstrated experience with Power BI preferred but not required
- Communicate effectively verbally and in print
- Provide, as well as carry out, detailed verbal and written instructions independently
- Collaborate with others to accomplish organizational goals; identify and resolve problems
- Use logical or rational thinking to solve problems; make decisions based on personal judgment
- Perform mathematical calculations (fractions, decimals, percentages, statistical) as needed

Environmental Factors and/or Physical Requirements:
While performing the duties of this job, this position is required to have ordinary ambulatory skills sufficient to visit other locations; and the ability to stand, walk, stoop, kneel, crouch, and manipulate (lift, carry, move) light to medium weights of 10-50 pounds. Requires good hand-eye coordination, and arm, hand, and finger dexterity, including the ability to grasp, and visual acuity to use a keyboard, operate equipment and read application/form information. The associate frequently is required to sit, reach with hands and arms, talk, and hear.
