Job Description
This role will be an Administrative Assistant supporting senior executives of the Data and AI Platform team. You will provide day-to-day administrative support to ensure the smooth functioning of our site and our executives.
What we expect of you, day to day.
Executive Assistant duties will include but are not limited to the following:
Complex calendaring for senior executives, using Gen AI where relevant, scheduling and anticipating and prioritizing their scheduling needs based on deadlines and deliverables.
Developing and updating complex PowerPoint presentations, Excel spreadsheets and documents with active use of Gen AI.
Proactively coordinate DAP level activities, including Townhall meetings, Visa Gives Back activities, department meetings, organization chart, and other activities that require participation across the department leadership team
With Gen AI, Proof reading and formatting business documents or broad communications for overall professional writing style and proper grammar.
In all tasks, fully utilize Generative AI where applicable.
Effective in-person, phone & email presence
Act as first contact for Senior Executives and play the role of liaison, problem solver, and facilitator to prioritize executive’s time and activities
Ability to prepare and effectively manage interactions with executives
Ability to decline quickly, simply and professionally
Ability to organize and prioritize across competing priorities
On occasion, Coordinate conference and meeting room set-up, order catering, and make logistical arrangements. Coordination of high level meetings and events involving multiple external participants
Facilitate onboarding and offboarding of employees.
Manage employee seats and help with workforce plan of DAP employees in the Bay Area and Austin, Texas.
Occasionally, coordinate complex travel requirements, itineraries, visas, logistics, etc.
Maintain professionalism and strict confidentiality with all materials.
This is a hybrid position. Hybrid employees can alternate time between both remote and office. Employees in hybrid roles are expected to work from the office 2-3 set days a week (determined by leadership/site), with a general guidepost of being in the office 50% or more of the time based on business needs.
Qualifications
Basic Qualifications
- Minimum of 6 months of work experience or a Bachelor's Degree
Preferred Qualifications
- 2 or more years of work experience
- Proactive, well-organized, and collaborative individual with a professional aspiration to be the administrative engine of a high-performing team in a fast-paced environment
- Strong analytical skills
- Track record of success in either a similar administrative role or other role with attention to detail and excellent organizational skills in pursuing and completing tasks.
- Proficiency in Microsoft Office applications – Outlook, PowerPoint, Word and Excel
- Comfort around using GenAI in your day to day role- Chat GPT etc.
Additional Information
Work Hours: Varies upon the needs of the department.
Travel Requirements: This position requires travel 5-10% of the time.
Mental/Physical Requirements: This position will be performed in an office setting. The position will require the incumbent to sit and stand at a desk, communicate in person and by telephone, frequently operate standard office equipment, such as telephones and computers.

U.S. APPLICANTS ONLY: The estimated salary range for a new hire into this position is 74,400.00 to 105,250.00 USD per year, which may include potential sales incentive payments (if applicable). Salary may vary depending on job-related factors which may include knowledge, skills, experience, and location. In addition, this position may be eligible for bonus and equity.
