This position is responsible for performing facilities and office operations duties involving critical thinking in accordance with standard procedures by ensuring the employees at one or more locations are working in a safe, presentable, and well-maintained office environment. This includes duties such as facilitating moves, repairs, replacements, setups/cleanups and frequent walk-thru. This position may also be responsible for performing and reviewing duties such as photocopying, compiling records, filing, tabulating, posting information, mail distribution, maintaining records, preparing forms and verifying information. Will be required to direct and follow up with building management and vendors either when the Location Services Manager or Supervisor is unavailable or as directed. May also be responsible for coordinating the Location Services or other Enterprise Support Services staff in the day-to-day operations at a location(s).
Responsibilities:
Manage and resolve daily facility requests and issues addressed by walk-thru. Resolution achieved by oneself or in tandem with staff and vendors. Analyze and determine selection of service providers from internal resources, building maintenance and outside vendors and contractors based on cost and scope of work performed. Review work performed to ensure meeting and sustaining of standards. Follow up with affected employees and escalate urgent or high importance matters to the Location Services Manager or Supervisor.
Coordinate and participate in office operations and facilities projects, including real estate projects as required by region. Responsibilities include but are not limited to assisting team leader in preparing and maintaining projects plans, including documentation, budgets, implementation, training, communication for projects derived line of business, office location, region and/or firm initiatives. Recommend better practices and cost-efficient improvements to the office in our continuing effort to provide exemplary customer service.
Communicate with the Building Management Office regarding maintenance issues, forms and documents
required from and for the landlord, special requests for our space, information on building security including
leading the emergency evacuation team and updating the floor warden information. Approve work orders and
billing and forward to Location Services Manager or Supervisor for further approval.
Provide routine leadership, direction and support, to ensure completion of daily duties in a timely and
accurate manner and escalate issues, when necessary. Determine trends from frequent requests and
advise Location Services Manager or Supervisor of necessary projects that would be cost beneficial to
the firm.
Manage services and vendors necessary to maintain the office; including but not limited to equipment
and appliance maintenance, flooring and furniture maintenance, HVAC, security systems, AED units.
Review and process invoices for these services. Follow up with vendors, staff and clients to ensure
they are meeting timelines.
Serves as a subject matter expert and resource for staff who have questions regarding office policies
and procedures.
Train new employees on local office policies and use of equipment and systems. Responsible to cross
train in Location Services functions to ensure adequate coverage and assistance during peak times is
available.

Intermediate Microsoft Office skills
Strong grammar and proofreading knowledge and experience
Ability to prepare charts, graphics and tables, etc.
Ability to manage multiple tasks and projects
Basic to Intermediate knowledge of lighting, HVAC, and plumbing
SPECIAL REQUIREMENTS SPECIFIC TO JOB
Able to lift up to 40 lbs.
Able to stand on your feet for an extended period of time
Must be punctual and able to adapt to changing schedules
Able to convey instructions clearly and concisely and be responsive to staff or vendor when they inquire

At RSM, an employee’s pay at any point in their career is intended to reflect their experiences, performance, and skills for their current role. The salary range (or starting rate for interns and associates) for this role represents numerous factors considered in the hiring decisions including, but not limited to, education, skills, work experience, certifications, location, etc. As such, pay for the successful candidate(s) could fall anywhere within the stated range.
Compensation Range: $52,600 - $84,200
