Overview
In this role, you will act as the "Director of First Impressions" while operating the front reception. You will be responsible for the overall office upkeep, conference rooms, mail service, and other administrative duties as assigned. You will provide team-oriented assistance and backup support to other personnel in the department as assigned.
Your responsibilities will include:
- Completing a daily opening routine such as emptying the dishwasher, starting the coffee maker, refilling the snacks, and stocking the refrigerator
- Providing day-to-day office management such as ordering office supplies and food & beverages, supplier communications, and building-related issues
- Managing inbound and outbound mail and package deliveries through UPS, USPS, FedEx and Amazon
- Managing expense reports, bills, and invoices as assigned
- Maintaining positive relationships with the office suppliers and vendors
- Maintaining the cleanliness of all communal office areas and watering the plants
- Coordinating and scheduling the conference rooms for training and meetings, while also setting up the conference rooms with the appropriate technology, materials, and catering
- Managing the company rental car fleet for team member utilization
- Participating in the Office Planning Committee for office activities, events, and more
- Responding to routine correspondence under own signature or drafting responses for review on more complex correspondence
- Maintaining discretion and confidentiality as needed for records or reports
- Coordinating and arranging travel reservations as needed
- Assists with other duties as assigned within designated
Education/Experience:
- A high school diploma is required; some college or applicable business certification is preferred
- 3-5 years minimum of office/clerical experience

Environmental Factors and/or Physical Requirements:
While performing the duties of this job, this position is required to have ordinary ambulatory skills sufficient to visit other locations; and the ability to stand, walk, stoop, kneel, crouch, and manipulate (lift, carry, move) light to medium weights of 10-50 pounds. Requires good hand-eye coordination, and arm, hand and finger dexterity, including the ability to grasp, and visual acuity to use a keyboard, operate equipment and read application/form information. The associate frequently is required to sit, reach with hands and arms, talk, and hear.
