The primary purpose of this role is to support the Legal eBilling system and the outside counsel management program. This role will oversee the ebilling process, onboarding of new outside counsel firms, monitor compliance with outside counsel guidelines, analyze outside counsel rate increase requests, prepare monthly accruals and prepare wire transfers. This individual has frequent access to confidential information.
What you will do
- Manage the Legal Department’s eBilling process. Provide billing support to the Legal Department, Law Firms, interacting independently with attorneys and outside counsel firms. Research billing issues
- Resolve billing issues by working across multiple teams such as Vendor Setup, Accounts Payable and Finance
- Manage the onboarding process for law firms into our eBilling and vendor management systems, partnering with various internal partners, including Data Security, and external partners, including eBilling provider
- Manage the outside counsel scorecard and reporting
- Maintain rate tables and alternative fee agreements of each outside counsel firm. Perform first line analysis of timekeeper rate requests
- Prepare check requests, enters invoices into the matter management system and handle incoming checks for deposit
- Prepare international wire requests
- Maintain the eBilling guidelines and training materials
- Provide training to internal invoice approvers
- Proactively seek ways to improve current processes to maximize productivity, workflow, and efficiency in all aspects of the eBilling function
- Create spreadsheets including formulas to organize, display, and summarize data, facilitate analysis, and identify interrelationships; prepares special reports for other departments and external customers
- Manage accruals, including running and delivering monthly eBilling accrual reports
- Act as the contact person for external vendors and uses independent judgment to respond to requests for information or to refer more complex requests to appropriate staff members; follows up to ensure issues have been resolved
- Works with or provides confidential and sensitive information and exercises discretion concerning its dissemination
- Assist with data analysis and develop reports and visual summaries
Required Qualifications:
- Associate's Degree and 4 years' experience working in a corporate legal department or law firm
- Bachelor's Degree and 2 years' experience working in a corporate legal department or law firm
Preferred Qualifications:
- Experience with Passport eBilling and matter management system
- Experience managing large volumes of work
