Position Title: Receptionist (12months FTC)
Location: Dundee
Reports to: HRBP
Part Time Receptionist – 22.5 hours per week (Job Share - Wed/Thur/Fri)
We are seeking applications for an exciting 12 month fixed term contract opportunity to join our Reception team at DFS Dundee. The Receptionist is the first point of contact for our internal and external customers including visitors to the business whilst also running a professional office administration and reception service. Additionally, you may be required to provide ad hoc administration support for Human Resources and other operational departments where required. This is a part-time position (22.5 hours per week) with a start date ASAP. Days / hours of work will be Wednesday (11.30am – 5pm), Thursday (8am – 5pm) and Friday (8am – 4pm). | |

Key Responsibilities: - Manage a high volume of enquiries (both telephone and face to face)
- Assisting with travel arrangements for visitors (hotel bookings, airport shuttles, taxis)
- Issue building access cards
- Co-ordinate & arrange meetings / events including catering, setup, clean-up, co-ordination of other event logistics.
- Maintain / update spreadsheets & databases.
- Manage stationery supplies, PPE & new starter set up.
- Update and maintain company time & attendance information & provide accurate payroll and accounts reporting.
- Provide ad hoc secretarial support to management.
- Be able to provide full time reception cover if required (holiday / sickness cover)
| | | Essential Person Requirements: - Excellent customer service & admin skills, ideally having had previous reception / front desk experience.
- Highly organized and detail orientated.
- Excellent Numeracy and English language (spoken and written) skills.
- Flexible & capable attitude to work.
- Ability to manage a variable workload with conflicting priorities with minimal supervision.
- Proficiency in MS Office (Word, Excel, Power Point, Outlook) is essential plus the ability to learn new software.
- Highly reliable and polite person with a pleasant and confident telephone manner

The successful candidate will be able to hit the ground running and must be comfortable with greeting many visitors; ensuring a warm “front of house” welcome. A self-starter, motivated and able to work to own initiative with a hands on “can do” attitude. Attention to detail is key.
