In this role, you will work hand in hand with architectural and engineering leaders to coordinate project needs, proposals and support solutions properly for business operations and efficient staff management.
Your Responsibilities Will Include:
- Business Operations
- Compiles and creates expenses reports once receipts are organized and coded for reimbursement
- Updates and produces organizational charts for assigned business unit, projects and proposals as necessary
- Assist in timesheet review (checking for accuracy and appropriate projects, account numbers, etc.) and approval
- Project Operations
- Specification formatting, compiling, proofreading, coordination and updating
- Design analysis formatting, compiling, proofing and updating
- Final check, compile and mail/distribute of project packages for Permit, Tender, Construction, etc.
- Prepare billing when requested and inter office invoices and client invoices for design only services
- Preparation of the documentation for Field Orders, Addenda, etc.
- Receive, date and efficiently coordinate and distribute all construction document related materials
- Update Newforma with contract demographics and additional information
- Construction Administration
- Create and change all related documents for owner and contractor
- Receive, date, and efficiently coordinate and distribute all Construction Administration related material
- Process Field Reports, Punch Lists, OAC meeting notes, and all other CA related material
- Staff Services
- Maintain a personnel calendar of events log to track new hires, departures, promotions, etc. within the business unit
- Assist with new employee setup (workstation setup with appropriate supplies, name plates, phone, computer, user technology requests, business cards, etc.)
- Schedules meetings and reserves conference rooms. Orders meeting meals when requested. Responsible for setting up conference rooms with appropriate technology and resources as well as meeting meals set-up and clean-up of conference rooms
- Administrative Services
- Performs a full scope of word-processing and spreadsheet applications, as well as documents containing financial or statistical data or scientific, technical, or legal terminology. Able to create presentations using PowerPoint or other applicable software
- Collects and compiles data from several sources of information
- Processes outgoing mail and packages. Receives incoming mail from mailroom and distributes to staff accordingly
- Order and Maintain office supplies for assigned budgetary unit
To thrive in this role, you will need:
- A high school diploma; some college or applicable business certification preferred.
- 3-5 years of office/administrative experience
- Experience in an Architectural or Engineering firm is a plus
- Good organizational and communication skills
- Proficient in Microsoft Office (Excel, Word, PowerPoint)
- Collaborate with others to accomplish organizational goals; identify and resolve problems

Environmental Factors and/or Physical Requirements:
While performing the duties of this job, this position is required to have ordinary ambulatory skills sufficient to visit other locations; and the ability to stand, walk, stoop, kneel, crouch, and manipulate (lift, carry, move) light to medium weights of 10-50 pounds. Requires good hand-eye coordination, and arm, hand, and finger dexterity, including the ability to grasp, and visual acuity to use a keyboard, operate equipment and read application/form information. The associate frequently is required to sit, reach with hands and arms, talk, and hear.
