We are currently seeking an Office and Facilities Coordinator with outstanding customer service capabilities, excellent communication skills, strong attention to detail, and creative problem-solving abilities. The ideal candidate will have experience working in a corporate setting and will be comfortable serving as the initial point of contact for routine and unexpected office and building service needs.
Responsibilities:
- Greet and provide general support to team members and visitors
- Answer and direct incoming phone calls
- Post and communicate office policies and initiatives as requested by various company departments
- Oversee day-to-day office building operations
- Send out, receive, and sort mail
- Send out, receive, and notify recipients of deliveries
- Review and process vendor invoices
- Issue security clearances/key-fobs
- Assign/manage door locking schedules
- Monitor building security and escalate appropriately
- Receive, prioritize, and respond to facilities service requests with necessary vendor
- Answer employee and visitor questions on a variety of subjects
- Building policies
- Security policies
- General company information
- Manage and update front lobby monitor content w/ Marketing partnership
- Order office supplies and maintain proper stock of necessary items
- Create and maintain campus preventative maintenance schedule
- Assist Facilities Leader with vendor management
- Notarize documents as needed
- Assist with event setup and tear down
- Assist in coordinating catering and car service vendors for Training Center
- Other duties as assigned
Qualifications:
- High school diploma; college degree preferred
- 2-3 years of experience in office administration, reception or administrative assistant experience
- Exceptional customer service skills
- Proficient in Microsoft Office Suite
- Excellent written and verbal communication skills
- Strong organizational and planning skills
- Attention to detail
- Able to handle confidential information, as required
- Excellent time management skills and ability to prioritize workflow
- Ability to lift and move office supplies and equipment weighing up to fifty pounds
- Ability to assist in office moves and furniture placement

Benefits and Compensation:
This role will be based out of our New Brighton office. The pay range is $17.00 - $25.40/ hour, depending on job-related knowledge, skills, and experience. This position is eligible for annual bonus and profit sharing based on company performance in addition to other benefits that support the total well-being of you and your family.
