We are seeking an Administrative Assistant to work out of our Newport News office.
** This is a hybrid role, onsite 3-4 times a week **
The Administrative Assistant will support the Design Group in the Gibbs and Cox Division within Leidos’ Sea Systems Business Area in a variety of tasks. As part of the team, you’ll focus on supporting our incredible people – from new employees to senior employees and management. You will work with local Management to ensure that our employees receive the administrative support so that together we can fully focus on the critical missions of our customers.
Responsibilities include:
- Perform a wide range of administrative, office management and coordination of tasks with limited supervision including coordinating travel arrangements, completing expense reports, purchasing, coordination of calendars for meetings, facility requests, non-po requests, staff office assignment, assistance with new employee setup, and other duties as required.
- Be called upon to support any number of support tasks and office management functions so must readily adapt to prioritize current and new tasks and challenges with a positive, can-do attitude.
- Interfacing with multiple departments and program teams.
- Working with multiple employment agencies to train and support agencies with entering hours within our systems. Perform weekly timesheet reconciliation and approval. Coordinate any updates with temporary employees and/or their agencies. Track funding against agencies budgets.
- Providing weekly reports to program teams and provide ad hoc reporting as needed.
- Support recruitment and hiring of new staff by scheduling and supporting job fairs, candidate interviews to include travel and expense, conference room reservations, and meeting invites with interviewer schedule and agenda, post-interview follow-up, candidate tracking, and new employee orientation and on-boarding, workstation orders, submitting pre-screening/nominations for security clearances, visit authorization requests, badge requests, token requests, Trusted Agent, I-9 Verifier, any office needs.
- Facilitate small to large scale meetings ranging from small to large in-person and/or team meetings, morale events, and town halls with senior management.
- Utilize a variety of management information systems/business information systems in support of employees and management (e.g., travel requests, purchasing requests, etc.).
- Be open to providing backup for other administrative staff as needed.
Administrative Assistant Requirements:
- High school diploma and 3+ years of professional work experience OR bachelor’s degree and 1+ year of professional work experience
- Must be able to multitask and prioritize work in a high-volume environment.
- Proficient with MS Office Suite
- You should be able to work in fast-paced, sometimes high-pressure environment, all while maintaining a calm, positive, and proactive outlook
- Strong communication skills, ability to work independently with minimal guidance and oversight and anticipate upcoming project support needs
Preferred Experience, Skills, and Education:
- Experience supporting a military program, preferably Navy
- Prior experience with U.S. Navy or other DoD programs
- Prior experience with Costpoint, Deltek, Workday, or Concur

Pay Range:
Pay Range $49,400.00 - $89,300.00
