Job Description:
The Administrative Assistant will be a key member of our team, responsible for providing comprehensive administrative support to ensure the efficient operation of our office. This role is ideal for a proactive individual who thrives in a fast-paced environment and has a strong understanding of the unique demands of a CPA firm.
Key Responsibilities:
- Office Management: Maintain office organization, manage supplies, and coordinate maintenance requests.
- Client Interaction: Serve as the first point of contact for clients, handling inquiries, scheduling meetings, and managing communications.
- Document Preparation: Assist with the preparation, editing, and formatting of financial reports, correspondence, and other documents.
- Filing & Record Keeping: Maintain accurate electronic and physical filing systems, ensuring all client files and records are up-to-date and accessible.
- Scheduling: Manage calendars for partners and staff, scheduling client meetings, internal meetings, and conference calls.
- Billing Support: Assist with invoicing, tracking payments, and following up on outstanding accounts.
- Support for Tax Season: Provide additional support during tax season, including organizing client documents, assembling tax returns, and ensuring timely filings.
- General Administrative Tasks: Perform other administrative duties as needed to support the day-to-day operations of the firm.
Qualifications:
- High school diploma or equivalent required; associate or bachelor’s degree is a plus.
- Previous experience in an administrative role, preferably within a CPA firm or financial services environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with accounting software is a plus.
- Strong organizational skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple tasks and priorities in a fast-paced environment.
- Professional demeanor with the ability to maintain confidentiality.
- Strong problem-solving skills and the ability to work independently.

Job Type: Full-time
Pay: $39,000.00 - $45,000.00 per year
