The Senior Project Coordinator will provide project and administrative support to the members of the US Medical Oncology team. Performs diverse project and administrative focused duties, which by nature of the position, may involve high level contacts and exposure to confidential material necessitating the use of tact, diplomacy, discretion and judgment. The candidate must have proven skills in prioritizing, multi-tasking and working independently, as well as the ability to remain poised and focused in a fast-paced working environment.
Key Responsibilities
- Perform highly diverse, and often time-sensitive, highly complex administrative functions, projects, and tasks.
- Addresses correspondence, manages calendars, schedules meetings and events, maintains distribution lists, makes domestic travel arrangements (based on current company travel guidance), maintains accurate departmental records, and on-boards & off-boards contractors and employees.
- Has strong organizational skills, pays close attention to detail and follow-up, and properly balances priorities and resources.
- Independently leads and manages team culture activities.
- Supports with logistical planning and onsite execution of team events and meetings.
- Maintains a positive attitude, a high level of productivity, and is adaptable to change. Proactively looks ahead at schedules, events, and needs of manager/team, anticipates conflicts, problems and issues, and takes appropriate steps to produce desired outcomes with minimum assistance from supervisor.
- Interfaces in a professional manner with matrix team members, handles confidential information with discretion and demonstrates diplomacy and excellent judgment in dealing with sensitive situations.
- Coordinates with the IT organization within BMS to support team with technology needs related, but not limited to integration of team members.
- Supports team with finance processes such as but not limited to routing of statements of works and opening new purchase orders.
- Anticipates key issues and implement action plans based on changing priorities and commitments.
- Prioritizes activities and takes action based on an understanding of departmental objectives and business needs.
- Maintains professional and technical knowledge by remaining current with BMS continuous learning modules.
- Provides back up support for other project coordinators and administrative assistants within the department.
Qualifications & Experience
- High School degree required, some college or degree desirable
- 5 years administrative or comparable experience. Prior Project Coordinator experience preferred
- Highly motivated, independent thinker with proven problem solving and analytical skills. Ability to utilize technology effectively to support strategic initiatives and/or processes
- Ability to interact professionally with colleagues at all levels of the organization
- Must be highly proficient in various BMS systems (Concur Travel/T&E, MS Teams, SAP, eSetup, Conf Room Scheduling, WorkDay, and Sharepoint) and other office tools (Office365, Calendar, eMail and audio/ video conferencing).
- Detail oriented with excellent oral and written communication skills. Adapts easily to new learning situations, can establish priorities, is very proactive, reliable and accountable, and works with minimal supervision.
- A collaborative team player who effectively builds relationships with team and other departments and can work independently.
- Demonstrates ability to prioritize, pro-actively work independently and collaboratively with administrative assistants/external partners, across organizational levels, functions, and supports business needs across different time zones and during periods of heavy workload.
- Exhibits a positive work attitude, high productivity and a collaborative approach with other employees across a matrix and international environment.
- The expectation of all Oncology team members is that of true collaboration and partnership mindset is applied to all work to ensure business needs/goals are met.
