KBR is looking for a part-time Senior Benefits Specialist to work in our Leatherhead office.(24 hours per week)
The UK Benefits Senior Specialist role within the UK People Advice & Resource Centre (UK PARC) is a key position for managing KBR UK’s employee benefits and pension plans, ensuring they are efficiently administered and align with best practices. The primary objective is to deliver outstanding outcomes for both the business and employees, while working closely with internal teams, including the UK-based and Chennai based UK Benefits team members.
The role focuses on managing the benefits and pension plans for KBR UK entities, ensuring smooth operation of the Company’s online flexible benefits portal, contributing to pension and benefits strategy and co-leading strategic projects. The role holder will report to the UK Compensation & Benefits Manager in the UK, with local reporting to the India PARC team. This is a permanent part-time position.
Responsibilities
- Serve as a primary point of contact for resolving more complex employee queries related to pensions and benefits and for requests to discuss pensions, oversight of the management and resolution of Workday Help support tickets, ensuring excellence in service and employee satisfaction, acting as the liaison between employees, the UK benefits team within PARC, benefit providers, and other stakeholders.
- Co-oversee the operation of the UK online flexible benefits portal and the reviewing and validating of data files exchanged with HR, payroll systems, and benefit providers with the UK Compensation & Benefits Manager.
- Act as a primary contact for the customer success manager at the portal provider, to ensure the smooth running of benefits through the portal and resolve any arising issues.
- Co-oversight of the maintenance and enhancement of the content on the benefits portal, ensuring it is up-to-date and user-friendly for employees.
- Co-direct the preparation and delivery of benefit communications to employees, leveraging the online portal and collaborating with the US benefits team on global initiatives.
- Support the management of the monthly operational processes, including benefit deduction and pension contribution reconciliations, auto-enrolment checks, and the calculation of benefit balances on termination.
- Collaborate with account managers or relationship managers from UK benefits providers and internal teams such including the wider PARC, HR BPs, payroll, IT, finance, and accounts payable to ensure seamless processing of benefit-related operations and timely and accurate communication to employees.
- Co-lead maintaining benefits documentation including brochures and guides and benefits process notes
- Assist HR teams and other corporate functions in managing pension and benefit needs for secondments, overseas assignments, TUPE transfers and other ad hoc requirements.
- Co-lead annual and triennial reviews of benefit provider and insurance contracts
- Co-lead strategic projects including the design and delivery of benefit improvements for the upcoming year
- Co-lead benchmarking activities for benefits offerings, staying informed about global trends and suggesting innovative ideas for KBR's strategy.
- Co-lead the development and delivery of health and wellness programs to support employee well-being.
- Work with global teams on international benefits initiatives and projects to ensure consistency and alignment across region
Experience Requirements
- Supporting employees with UK pensions and benefits in an in-house role
- Managing UK flexible benefits portals and benefits administration including data file interface processes.
- Managing benefits renewals, annual enrolment windows, and benefit deduction reconciliations.
- Oversight of defined benefit and defined contribution pension schemes including trust based and contract- based schemes
- Running salary sacrifice schemes (pensions, cycle to work, childcare vouchers, company vehicles).
- Oversight of private medical insurance trusts
- Working with time recording systems (SAP, Costpoint, Microsoft Dynamics - desirable)
- Working with UK payroll systems (Workday, SAP, ADP - desirable) and oversight of the pension and benefits aspects of the monthly payroll process
- Responsibility for pensions and benefits communications strategy and improving employee experience
- Detailed understanding of auto-enrollment, pension contributions, and compliance with UK pension and benefit regulations and tax laws.
- Experience with Benefex’s OneHub system and Workday as a HR system - desirable
- Experience in health and wellness program development and employee communications.
- Wider HR experience (desirable)
Technical Skills/Knowledge
- Strong communication skills for resolving employee queries and explaining benefits and maintaining relationships with pension and benefit providers.
- In-depth knowledge of UK company pension plans and benefits programs, UK payroll systems including pay types and benefits codes and UK income tax and National Insurance tax
- Strong organizational skills with attention to detail and deadline management.
- Advanced Excel skills for data analysis and reconciliations (VLOOKUPs, pivot tables).
- Proficient in other Microsoft Office applications (Teams, Word, PowerPoint).
- Understanding of data security and confidentiality under GDPR.
