The Flight Operations Coordinator works closely with the Flight Operations Manager, aviation personnel, executive administrative staff, and senior executives to ensure safe and cost-efficient corporate air travel solutions, which maximizes aircraft utilization, flight-crew utilization, and executive's calendar time. Additionally, the Flight Operations Coordinator helps maintain department records, crew and aircraft schedules, and completing administrative tasks such as invoicing and software updates.
What you will do
Scheduling executive travel on company aircraft in compliance with FAA (Federal Aviation Administration) and company regulations. Ensuring efficient use of company aircraft and when prudent explore alternative lift options.
Acting as effective liaison between corporate admins and aviation.
Leveraging flight scheduling software to maintain flight operations, passenger database, flight-crew, operation expense records, flight dispatching, logistic support, operational performance reporting, and flight operations expense reporting.
Implement updates for aviation software and aviation initiatives.
Update and maintain a database to track crew and passenger’s passport and VISA expirations.
Coordinate trip logistics for flight-crews and passengers to include: catering, lodging accommodations, ground transportation, and other special request. Coordinate aircraft ground handling and fuel purchase options with fixed based operators.
Coordinate aircraft availability with regard to maintenance events with the Chief of Maintenance.
Develop trip cost models for management review in order to provide effective data driven trip authorization processing tools.
Providing on-call scheduling support when assigned to stand-by duty during non-business hours, weekend, and holidays
Works with or provides confidential and sensitive information and exercises discretion concerning its dissemination
Provides administrative support needs of the VP up to and including responsibility for routing or answering routine correspondence, preparing communication and other documents and ordering office supplies. Must be able to transmit effective executive communication on behalf of the VP, at the discretion of their leader and as appropriate.
Proactively maintains and manages calendars for Vice President. Ensures that leader(s) are prepared with supporting materials and detailed information for day to day operations and meetings.
